Description

We are looking for a dedicated Accounts Payable Specialist to join our client's team in Waipahu, Hawaii. This role involves handling high-volume invoice processing, managing payment transactions, and ensuring accurate cost coding for projects within the construction industry. Responsibilities for the Accounts Payable Specialist:

• Process and post approximately 200+ checks weekly, ensuring all invoices are accurately coded and matched to purchase orders.

• Collaborate with project engineers and vendors to address and resolve discrepancies in outstanding invoices.

• Maintain and update purchase order logs and supporting schedules using Microsoft Excel.

• Handle vendor payments through multiple methods, including checks and credit cards.

• Assist with month-end closing activities and generate reports as needed.

• Support the year-end audit process by preparing necessary documentation and reconciling accounts.

• File and organize accounting records in compliance with the company’s document retention policies.

• Provide occasional coverage for the receptionist during breaks and other administrative support as required.

• Ensure timely and precise communication with internal teams and external vendors, fostering positive relationships.

Requirements

• Minimum of 7 years of experience in accounts payable and 5+ years of office experience strongly preferred.

• Proficiency in cost coding tied to project accounting.

• Advanced skills in Microsoft Excel and familiarity with other Microsoft Office applications, including Word and Outlook.

• Strong attention to detail and ability to manage high-volume invoice processing efficiently.

• Excellent communication and interpersonal skills for interacting with internal teams and external vendors.

• Prior experience with accounting software.

• Ability to work with minimal overtime, except during monthly close periods.

• High degree of flexibility and problem-solving capabilities in a fast-paced environment.
