Description
We are seeking an Office Manager for our client in Valencia, CA with tax office experience.
Position Summary
The Office Manager will oversee day-to-day operations, manage staff, and ensure smooth execution of our various internal programs. A strong understanding of Windows-based software is essential. Experience in tax services is a significant advantage. You’ll play a critical role in maintaining systems and processes already in place, while also working directly with ownership to streamline operations so the office can increasingly support remote work in the future.
Key Responsibilities
Oversee all aspects of daily office operations
Supervise and support administrative and support staff
Maintain and manage multiple internal programs (referrals, calendar, commissions, advertising, client website portals, etc.)
Ensure efficient use of Windows-based software tools across the office
Collaborate with ownership to refine workflows, improve efficiency, and prepare the office for more flexible/remote operations
Coordinate with external vendors, IT, and service providers
Uphold and enhance our long-standing client relationships
Monitor and manage deadlines, program cycles, and team deliverables
Help manage client database and sensitive information securely and efficiently
Support occasional tax-related administrative tasks (tax experience preferred)
Requirements
Qualifications:
10+ years of experience in office management (professional/family office environment preferred)
Proficiency in Windows-based software (Excel, Outlook, custom CRMs, etc.)
Demonstrated experience managing systems, staff, and complex office workflows
Strong organizational and time-management skills
Experience with tax processes or background in financial services is a plus
High attention to detail with ability to anticipate needs and resolve issues quickly
Excellent interpersonal skills and a client-first mindset
Self-starter with ability to lead, improve, and innovate operational practices
