    Duties Description Duties include, but are not limited to: • Sorting and distributing mail. • Maintaining records and files. • Answering telephones and appropriately responding to or referring inquiries made by employees, vendors, and customers. • Providing assistance to the Program Aide in the administration of the Residency program which may include Personnel, Purchasing, and Training activities such as: 1. Hiring and promoting employees, and employee orientations. 2. Assisting with ordering supplies, purchase orders, and vouchers. 3. Tracking and entering TRINFO data. 4. Reviewing employee's time in MMS/LATS ensuring flex time, overtime, recalls, meal allowance, and leave times are all correct; then sending approved MMS records to the Time and Attendance system. 5. Highway Work Permit entry. 6. Coordination of Residency Adopt-A-Highway program.Preferred candidate will possess excellent written and oral communication skills as well as proficiency in computer programs such as Microsoft Word, Excel, PowerPoint and Outlook.Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

     

    Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the open competitive minimum qualifications for this position. The qualifications are:There are no minimum education or experience requirements for this title.Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.

     

    Additional Comments *This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified. Applicants must be currently authorized to work in the United States on a full-time basis.Employees appointed via the NY HELPS program are restricted for promotional appointment until their position is covered-in to the competitive class by the New York State Civil Service Commission (CSC), or they otherwise obtain permanent competitive status. The CSC has recently covered-in employees who were appointed via NY HELPS on a permanent or contingent permanent basis between June 26, 2024 and June 11, 2025. Notification to employees regarding a change in their status is forthcoming. You may wish to apply if you received a permanent NY HELPS appointment to a qualifying title within these timeframes and are interested in this opportunity. Your eligibility for promotion will be reviewed by Human Resources. Employees with a permanent NY HELPS appointment occurring effective 6/12/25 or later will be addressed with a subsequent cover-in.
