    Position Description

    This is a Full-Time, Non-Civil Service position with medical, dental, pension and insurance benefits. The position is under direct supervision of the Family & Community Services Director (CSBG/LIHEAP). The position provides administrative assistance and support for the Family & Community Services Director and administrative staff. Performs related duties as required.

     

    CSBG - Community Services Block Grant

     

    LIHEAP - Low Income Home Energy Assistance Program

    Typical Duties

    + Performs administrative support duties.

    + Answers correspondence and telephones.

    + Plans meetings and schedule appointments for the Community Services Director.

    + Takes minutes of meeting proceedings.

    + Prepares department meeting memoranda.

    + Responsible for document preparation, printing, collation, and distribution.

    + Processes, monitors, and maintains departmental purchase orders and requisitions.

    + Inputs and maintains database.

    + Completes special projects/assignments for the administrative in the operation of the program.

    + Works closely with the Program Director to ensure administrative procedures are followed.

    + Maintains necessary tracking of reports, grant submission dates, etc.

    + Completes work assignments accordingly and in a timely fashion.

    + Distributes all information from the Family & Community Services Director’s office to the appropriate persons.

    Minimum Qualifications

    High school diploma and/ or GED plus two (2) years of administrative support experience.

     

    Candidates with accreditations earned in a foreign institute are encouraged to apply.

     

    Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

    Preferred Experience, Knowledge, Skills, and Abilities

    + Knowledge and operation of computer equipment in processing data.

    + Knowledge and operation of general office equipment.

    + Knowledge of data entry operations.

    + Knowledge of proper reception and phone etiquette.

    + Knowledge of office management techniques.

    + Experience with keeping precise and accurate records.

    + Experience with handling confidential information.

    + Experience dealing with the public courteously and respectfully.

    + Experience with compiling data for reporting purposes.
