+ Prior experience working as an Administrative Assistant.
+ Proficient in Microsoft Office 365 to include Word, Excel, Outlook, and Teams.
+ Experience in monitoring budgets.
+ Effective communicator with excellent verbal, written, and interpersonal communication skills.
+ Ability to multitask, organize, and prioritize responsibilities, meet multiple deadlines and handle interruptions.
Preferred Qualifications
+ Prior experience working in an academic setting.
+ Experience with faculty/staff hiring (PeopleAdmin and PCRs), class scheduling ( CLSS ), using P-card (e.g., departmental credit card), and purchase requisitions.
+ Knowledge of Texas State University academic policies, systems, and procedures.
+ Ability to maintain sensitive and confidential information.
+ Ability to work independently.
Job Description
The Administrative Assistant Ill position in theMedical Laboratory Science ( MLS ) Program (https://www.health.txst.edu/cls.html) serves as the functional office manager and provides direct, high-level, administrative support to the Program Chair/Director, faculty, and students while also working closely with the Dean’s Office.
Job Duties
This position is housed on the San Marcos campus
+ Interact professionally with office visitors, the Dean’s Office and other high-level offices across the university.
+ Process paperwork for hiring faculty, staff, and student employees and maintain personnel files.
+ Request textbooks from bookstore each semester. Identify possible new textbooks and keep track of upcoming edition changes.
+ Create and process travel applications and any reimbursements for program chair, faculty, staff and students.
+ Monitor assignments for graduate assistants and student workers.
+ Monitor department accounts and reconcile expenditures monthly.
+ Develop, maintain inventory, and purchase lab supplies for MLS lab courses.
+ Assist chair with development of class schedule for each semester, including arranging for classrooms with Dean’s office.
+ Assist in the preparation of various activities and events (including announcements, decorating, ordering food, room setup, and cleanup).
+ Compose, type, and proofread a range of documents including correspondence and emails.
+ Assist with annual reports including SLOs and NAACLS accreditation.
+ Update and assist in creation of Program website, handouts, announcements, event presentations and programs, etc.
+ Handle correspondence with potential students and advise MLS majors regarding classes, questions regarding major, and requirements for graduation.
+ Email and process all applications, develop database of applicants’ information, review applications and transcripts, and rank students for admission.
+ Perform general office duties.
+ Perform other duties as assigned.
