+ High School Diploma or GED .
+ Supervisory and budget management experience.
+ Attention to detail as evidenced in application materials.
+ Experience using Microsoft Office software.
+ Ability to meet deadlines and adjust priorities on a daily basis.
+ Excellent interpersonal skills.
Preferred Qualifications
+ Bachelor’s or master’s degree.
+ Knowledge of purchasing procedures.
+ Experience with travel applications and reimbursements.
+ Experience using Texas State software.
+ Understanding of university processes and procedures.
Job Description
The Administrative Assistant III provides administrative and clerical support to program chairs, department chairs, deans, or directors.
Job Duties
+ Serve as office manager for the department, including the supervision and performance review of office staff and student workers.
+ Organize, prioritize, direct, and explain office work assignments to office staff and student workers.
+ Keep track of due dates for all assignments and projects.
+ Maintain and review staff and personnel files for completeness. Maintain Faculty personnel files. Hire, train, and supervise student workers. Prepare contracts and PCRs. Process all hiring documents for new hires and rehires.
+ Supervise creation of travel requests and reimbursements for all staff and faculty.
+ Monitor departmental and program operating budgets and maintain accurate ledgers.
+ Review and process purchase orders and invoices.
+ Prepare and manage spreadsheets and tabulate information.
+ Compose, type, and proofread a range of documents including correspondence and reports.
+ Assist in the preparation of various activities and events.
+ Oversee and manage incoming telephone calls, including screening, transferring, and taking messages.
+ Monitor the inventory of office supplies and order new and replacement supplies as needed. Process work orders as needed.
+ Additional tasks to support overall office functions as requested by department chair or program directors.
