Entity: Corporate Services
Department: Materials Management Administration
Hours: (Must live within PA, NJ, DE, or MD) Remote, M-F, 8am – 5pm
The Associate Director of Corporate Supply Chain Operations will act as the key leader for the department in UPHS wide training and education related to supply chain, manage the operations of the contract administration office and recall management function, and lead coordination of performance improvement efforts related to supply chain functions. In addition they will assist in the management and direct report oversight of corporate supply chain staff. They will work closely with the Entity Materials Management teams and improvement of supply chain processes as well as the SCIS team to maintain system expertise status, especially as it relates to the Contract Management and ILM modules. Will work closely with Supply Chain leadership in the development of standardized processes and procedures, common metrics, data reporting and dashboard development to help to drive performance excellence and supporting leading practices that integrate and centralize capabilities across Supply Chain.
Accountabilities
Purchasing Strategy and Execution
• Collaboratively work with Sr. Director and leadership team to define purchasing process and strategy.
• Seek solutions to supply chain challenges and obstacles.
• Educates, implements and monitors compliance to department policies and standard operating procedures across all team members and processes.
Staff Supervision and Development
• Select, assess, monitor, and coach staff when appropriate.
• Provide daily guidance to direct reports as necessary by informal contact, scheduled meetings and coaching opportunities.
• Follows Penn Medicine Human Resources practices.
• Monitors and adjusts workflow and assignments in conjunction with direct reports.
• Maintains ongoing contact with all department staff to assure cultural integration and collaboration amongst team members.
Education and Training
• Maintains strong Infor system and process knowledge of all aspects of supply chain to facilitate effective education
• Develops training and education tools for all aspects of Infor system management and Purchasing processes and develops training/ education calendar. Acts as key contact for the organization on Supply Chain education. Develops and organizes any content on Departmental Sharepoint site.
• Partners with leadership team to identify gaps in knowledge and performance and facilitates development of any necessary training or reference tools. Supports professional development education for corporate Purchasing team members.
Service
• Solicits feedback from other Penn Medicine staff, leaders, and physicians as needed to assess overall service delivery and discusses results with leadership team to develop or modify processes/ systems.
• Functions as a key point of contact for service issues
• In collaboration with leadership team develops model and structure for customer service with UPHS end users and leads customer service team
Performance Improvement and Performance Management
• Collaborates with leadership team on identifying key priorities for performance improvement
• Develops and incorporate CPI into department culture and operations through SOP, PI venues and metrics review/ management
• Works w leadership team to identify opportunities for standardization, consolidation and system performance improvements. Develops and oversees PI plans to implement.
• Works with Dir of Supply Chain IT and Analytics to develop dashboards and reporting tools that will assist in the measurement and monitoring of performance.
Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
Other duties as assigned to support the unit, department, entity, and health system organization
Minimum Requirements
Required Education and Experience
Bachelor’s Degree is required (master’s is preferred)
8 years of Materials Management Supply Chain experience
3-5 years of Healthcare Information Systems knowledge
Experience within a complex organization or Academic Health System is required
Required Skills and Abilities
Knowledge of business planning, modeling, concepts and tools
Strong analysis and problem solving skills
Materials Management: Strong information systems knowledge
Ability to use Microsoft Excel
Infor knowledge preferred
Knowledge of closing processes preferred
