    Job Summary and Qualifications

     

    As the Senior Conference Center Coordinator, you will work independently to plan and monitor the logistical aspects of meetings and events with medium to high complexity across leadership, departments, and business lines that have a direct impact on the organization and are highly visible. You must demonstrate a strong commitment to stakeholder relationships by proactively communicating and facilitating effective outcomes in a timely manner. This position oversees and schedules AV and set-up teams, communicates with suppliers and presenters, and ensures that event planners and delegates have what they need to have a successful meeting. You will also be the administrator of both the conference center reservation software and the meeting registration software.

    Job Responsibilities:

    + Oversee the day-to-day logistical needs of the Conference Center by enacting exceptional communication and customer service skills with internal and external stakeholders.

    + Use critical thinking skills to coordinate the meeting room scheduling calendar to maximize utilization and to minimize the need for and cost of using off-site venues.

    + Manage and maintain the functionality of the web-based solution (Conference Center room booking tool) that includes system updates, ad hoc and canned report writing, training, and troubleshooting.

    + Coordination of a wide range of logistics for meetings and events that include room set up, tear down, AV support, ground transportation, catering, parking and building access.

    + Use critical thinking skills to anticipate, prevent, or respond to all customer inquiries to ensure a positive outcome.

    + Schedule AV and setup team daily activities and meetings with stakeholders before each event.

    + Effectively communicate using several means of communication with organizers at specified intervals for each event.

    + Administrator of Conference Center reservation software, troubleshooting, assisting with logins, research and developing improvements.

    + Create monthly analytical reports on Conference Center Utilization to assist Director in Sr. Leadership reporting.

    + Enter all external meeting requests in Concur for travel bookings.

    + Administrator of event registration software, assigning login’s, assist in training and troubleshooting.

    + Develop and communicate the daily logistics schedule for employees who provide housekeeping and AV support.

    + Develop and communicate the weekly event schedule with department personnel to review details and logistics.

    + Prepare, and administer monthly allocation submission for meeting/event expenses.

    + Create invoices for multiple tenants using Conference Center resources.

    + Maintain a culture of high performance and continuous improvement that values a commitment to quality and delivering exceptional customer service.

    + Assist with the development and training of best practices for meeting planners across the enterprise.

    + Other duties as assigned by Senior Meetings Manager.

    Job Requirements:

    + Bachelor’s Degree is preferred

    + Less than 1 year of experience in a leadership role is required

    + 3+ years of experience in Meeting Planning and/or Conference Center Operations is required

    + CMP is preferred

    + Meeting/event logistics experience is required.

    + Excellent customer service experience is required.

    + Exceptional written and verbal communication skills is required.

    + Strong critical thinking skills that include analyzing and resolving complex situations

    + Strong people skills working with diverse and complex personalities is required.

    + Excellent organizational skills with the ability to prioritize and juggle multiple tasks simultaneously is required.

    + Must possess the ability and attitude to work calmly and effectively in stressful situations.

    + Must demonstrate proficiency in Microsoft Office applications and other applications as required.

    + Must possess a passion to deliver exceptional customer service.

    + Initiative-taking with the ability to work with minimal supervision.

    + Ability to maintain/handle confidential information appropriately.

    + Must be detail driven.

    + Training/presentation experience is a plus.

    + Hospitality industry experience is a plus.
