Job Summary and Qualifications
Under the direct supervision of the Senior Executive Assistant/Division Office Manager, this position provides administrative support to the Division Office Manager. The primary responsibilities include answering incoming calls, managing visitors and deliveries, and managing the functions of the front desk.
+ Act as the first point of contact for visitors and deliveries. Respond and direct as needed.
+ Coordinate guest and visitor screening with Building Security.
+ Validate parking tickets utilizing an online system.
+ Maintain Division phone lists and upload to document repositories such as SharePoint or OneDrive.
+ Request facility / building management service as needed for office suite.
+ Maintain supply room and break rooms and replenish as needed.
+ Review office supply and beverage vendor invoices for accuracy and forward to Accounting for processing.
+ Coordinate daily Senior Leadership Team lunch orders.
+ Handle information and non‐routine information and maintain confidentiality.
+ Work independently and with the Division Office Manager on special non‐recurring and ongoing projects.
+ Coordinate new hire onboarding for new hires including processing parking forms, fitness center forms, badge requests, etc.
+ Manage Kastle security badge assignments.
+ Contribute to building a culture of excellence and employee satisfaction through participation on various employee committees and colleague networks.
+ Maintain flexibility in schedule as needed.
+ Adapt quickly to new assignments as needed.
+ Work as a team to accomplish large‐scale projects.
+ Serve as City of Houston certified fire warden for office suite.
+ Serve as member of Division Social Committee
+ Serve as member of Emergency Operations Planning Committee in support of Division Emergency Operations.
What qualifications you will need:
+ High school diploma required; some college preferred.
+ Minimum three years relevant experience in an office environment.
