    Administrative Assistant I

    Required Qualifications (as evidenced by an attached resume):

    High School diploma/GED (foreign equivalent or higher degree). Three (3) years of full-time progressively responsible administrative experience. Highly proficient professional experience in word processing, spreadsheet management, electronic messaging and internet applications.

    Preferred Qualifications:

    Experience using a content management system to post/update content on a website. Experience coordinating national and international travel arrangements. Working knowledge of SUNY State, Research Foundation (RF), and/or Stony Brook Foundation (SBF) budgets and/or purchasing policies & procedures. Experience planning and coordination of workshops and/or events. Experience working with Grants.

    Brief Description of Duties:

    This position will provide secretarial, administrative, and management support PI and with tasks associated with a grant funded research coordination network (RCN). The successful incumbent will have excellent organizational skills and attention to detail and strong interpersonal skills for communicating with a wide range of scientists. Essential for this role is the ability to work independently as well as part of a team with a collaborative approach to problem solving.

    Duties:

    + Assist with the financial aspects for project support such as arranging payment for vendors, processing reimbursements and invoices, and record keeping of expenditures.

    + Assist with electronic communications with members of the network, including both email and mailchimp, andworkshop and event participants: assist with advertising workshops and events.

    + Assist with updating the website for the RCN; post events and update information as needed.

    + Organize applications for workshops and research exchanges, providing them to reviewers and completing travel reimbursements and participant support funding.

    + Assist with the planning and coordination of workshops and/or events, including venue, lodging and catering arrangements.

    + Other duties as assigned.

    The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
