Description
Our client is seeking a detail-oriented and proactive Accounts Receivable (AR) Specialist to join their team on a contract to hire basis located in North Houston. The AR Specialist will be responsible for managing all aspects of accounts receivable, including invoicing, customer payments, reporting, and maintaining accurate financial records in the ERP system. Additionally, this position will support reconciliation preparation, journal entries, and assist in identifying opportunities for process improvements to drive organizational success. Collaboration with internal teams and ensuring exceptional customer service are core to this role. The hours are Monday through Friday, between 8:00 AM – 4:30 PM. The position will begin fully onsite and then have the opportunity to move into a hybrid schedule.
Key Responsibilities:
Invoicing and Payment Processing:
+ Issue and distribute invoices to customers using various channels.
+ Record payments, reconcile customer accounts, and process bank transactions.
+ Issue customer account statements and follow up on overdue payments.
Customer Relationship Management and Collections:
+ Build and maintain relationships with customers to foster trust and ensure accurate account management.
+ Follow up on past due accounts to ensure payments are received timely.
+ Organize customer contracts, evaluate billing data, and verify details with service operations.
Reconciliation and Reporting:
+ Perform monthly reconciliations for accounts, general ledgers, and sub-ledgers.
+ Generate and deliver reports to different departments as needed for financial transparency and decision-making.
ERP and System Management:
+ Work closely with operational teams to create, log, and track project codes and status updates for billing.
+ Set up new items for invoicing and code them to the correct accounts for revenue reporting.
+ Support and help integrate process improvements, new accounting systems, or interfaces.
Accounting Collaboration and Audit Support:
+ Work alongside accounts payable and other accounting team members to ensure overall financial accuracy.
+ Assist in quarterly and annual audits by providing required documentation and reports.
General Administrative Duties:
+ Maintain organized and secure records of sensitive financial information.
+ Perform office support tasks such as filing and other administrative duties.
+ Contribute to accounting-related projects and support executive staff as needed.
Requirements
Education: High school diploma required; a college degree in Finance or Accounting is highly preferred.
Experience:
+ Strong understanding of accounting practices and a minimum of 2 years of experience in an accounts receivable, billing, and collections.
+ Familiarity with ERP systems is strongly preferred.
Technical Skills:
+ Advanced proficiency in Microsoft Office Suite, particularly Excel.
+ Experience with general ledger systems and detailed financial reporting.
Soft Skills:
+ Excellent interpersonal and communication abilities, with a polite, professional demeanor when interacting with clients and colleagues.
+ A proactive team player who thrives in a fast-paced environment and is willing to work flexible hours when required.
