DIVISION: University Advancement
DEPARTMENT: Advancement Financial Services
BASIC FUNCTION: The Advancement Financial Services Specialist is responsible for the financial processing needs of the Advancement Division. Specifically, he/she will share in the responsibility of processing financial gifts and pledges to the University as well as the creation of receipts and other documents as needed.
EDUCATION: Bachelor’s Degree required.
EXPERIENCE: Two years related office experience. Familiarity with Blackbaud’s Raiser’s Edge, bookkeeping and other computer proficiency is preferred. High attention to detail, demonstrated interpersonal skills, and the ability to multi-task are required.
REPORTS TO: Sr. Director, Advancement Financial Services
ESSENTIAL FUNCTIONS:
1. Advancement Financial Services
Accurately record donations, pledges, and non-gift fees (e.g., event registrations, quid pro quo benefits, etc.) into the Advancement database, Gather and maintain gift back-up according to audit requirements, including scanning and indexing of all gift and pledge documentation, Establish and maintain quality control procedures to ensure that all IRS guidelines pertaining to the processing and receipting of donations are met, Perform any coding to support reporting needs associated with special circumstances including soft credit, matching gifts, verbal indications, gifts in kind, solicitations, etc. Update demographic information on constituent records as necessary, Respond to inquiries from donors and/or University staff regarding the acceptance of gifts and posting of donations, Prepare receipts in a timely manner, for all donations except online transactions, Assist with the Advancement Services components of the University’s matching gift program, Ensure that appropriate documentation is maintained regarding all financial procedures
2. Advancement Division Professional Development
Promote an image of efficiency and courtesy throughout the University community consistent with the department’s mission, Attend staff and divisional meetings, Serve as a responsible committee member when requested, Stay abreast of changes in the Development Services industry through attendance at workshops, seminars as well as through professional material and related associations. Advocate for policy and process improvements to support Division’s objectives Assist in the creation and maintenance of Advancement policy & procedure documentation
Perform other related duties as requested.
