    The University Libraries at CU Boulder is encouraging applications for a Collection Operations Coordinator! This role plays a pivotal role in shaping and promoting the library's collections by evaluating patron suggestions, coordinating vendor engagement activities, and facilitating donor engagement through centralized communications and timely acknowledgments. In partnership with the Collection Development & Assessment Librarian, this role manages user requests and trial resources, while supporting the Director of Collection & Archival Strategy through detailed reports and promotional content that highlight new acquisitions and donations. Additionally, the Coordinator enhances outreach by creating marketing materials for diverse audiences, maintaining internal communications via the Libraries website and SharePoint, and participating in collaborative working groups to support organizational initiatives.     What Your Key Responsibilities Will Be

    Gift Coordination:

    + Evaluates inquiries about gift materials or donations for library collections. Ensures that donors receive timely updates and acknowledgments about their donations.

    + Reviews and analyzes potential gifts to assess alignment based on knowledge of the Libraries collection development criteria and strategy, and makes recommendations to the Director or appropriate subject librarian about adding materials to the collection.

    + Supervises gift activities and assists with the creation of donor agreement forms, inventories, and other relevant documentation in accordance with campus regulations.

    + Develops promotional materials to highlight new gifts and reports to showcase the impact of donated materials.

    Patron Suggestion Assessment:

    + Coordinates and triages requests from purchase on demand programs, including: Suggest a Library Purchase Form, vendor platform requests, streaming media requests, and supervising turnaways for electronic resources.

    + Monitors and handles purchase suggestions received via email and online request forms.

    + Curates physical and digital displays of books by CU Authors and other thematic collections as assigned.

    + Supervises usage statistics and evaluation forms for trials and new electronic resources.

    Collection Documentation and Vendor Relations:

    + Maintains and updates documentation related to collection development policies, vendor agreements, and approval plans. Generates reports and communicates ordering timelines and approval profile changes with vendors and subject specialists.

    + Collaboratively captures and prepares collection data for dashboards, assessment projects, and other reports that support central initiative planning and decision-making.

    + Coordinates and schedules vendor-related activities such as site visits, product demonstrations, account reviews, presentations, and training sessions for subject librarians. Assists with note-taking and the distribution of promotional materials to support vendor engagement and follow-up communications.

    Outreach for Collections:

    + Promotes collections across all formats by creating engaging marketing materials aligned with University and Libraries branding standards while working with a team.

    + Supports internal and external communication about new collections by drafting content for news stories, newsletters, and other outreach channels.

    + Maintains an awareness of current trends, issues, and developments related to collection development and management to inform promotional strategies

    + Participates in working groups to support organizational initiatives.

    This role is in a hybrid work position, working primarily on site, with an optional one day per week of remote work.

     

    What We Can Offer

     

    The annual salary for this full-time position is $47,022-$52,500. A small relocation assistance stipend may be available within University Libraries guidelines.

    What We Require

    + Bachelor's degree or equivalent combination of relevant education and experience.

    + 2 years experience working in libraries; an MLIS can substitute for the experience.
