    Responsibilities*

    Provide clinic operational support to the Pediatric Specialties ACU and Rheumatology Division in an ambulatory care clinic setting. Coordinate and facilitate communication between physicians, nurse providers, clinic personnel, and patients regarding issues relevant to medical care. Assist in identifying and resolving clinic operational problems and help train new staff members on the clinical support operations. Individual must maintain excellent rapport in person or via the telephone with patients, faculty, and staff, within a team setting. Participate fully in the Lean in Daily Work (LIDW) model of continuous quality improvement.

     

    + Correspond with Providers to obtain additional documentation and medical records from referring providers.

    + Complete FMLA and Medical Necessity documents and forward to providers for review and final signatures.

    + Coordinate care with patients for labs, x ray and testing to be completed at outside facilities, including obtaining prior authorizations.

    + Ensure all test results and reports are in MiChart prior to patient appointments. This may involve contacting patients, referring providers and outside facilities.

    + Schedule Joint Tap appointments with general sedation through coordination with the OR. Place orders for pre-procedure COVID testing.

    + Contact families to provide instructions for upcoming procedures.

    + Triage incoming lab results via the MiChart in basket or fax server. Send to the Pathnet team for immediate upload to MiChart.

    + Lab Monitoring

    + Provide backup coverage for prior authorizations for medications during Pharmacy Tech vacations and absences.

    + Obtain prior authorizations for medication infusions done at home or outside facilities.

    + Monitor and track patient lab results for compliance and completeness. Contact patients to remind them of required testing, follow up with letters when needed.

    + Provide backup coverage for other PSA roles as identified by leadership.

    + Related Duties- Clerical related coverage for other team members

     

    Skills You Have

     

    Personal interaction involves giving and receiving sensitive and confidential information, evaluating and responding to concerns and complaints, to/from faculty, staff, administrators, patients, parents, relatives, students, and the public on a daily basis utilizing appropriate customer relations skills at all times.

     

    Supervision received from the ACU Administrative Manager.

    Required Qualifications*

    + Graduation from high school or an equivalent combination of education and experience

    + Minimum 3 years of experience

    + Excellent customer relation skills

    + Excellent multi-line phone skills

    + Working knowledge of Outlook, MiChart, MS Word, Excel, and Windows (word processing / computer skills)

    + Excellent command of grammar and medical terminology.

    + Strong organizational and communication skills.

    + Ability to appropriately prioritize, organize and plan ahead (short and long term responsibilities)

    + to meet deadlines.

    + Proficiency in multi-tasking

    + Accurate typing skills, 60-80 wpm

    This position is covered under the collective bargaining agreement between the U-M and the Service Employees International Union (SEIU), which contains and settles all matters with respect to wages, benefits, hours, and other terms and conditions of employment.

     

    Background Screening

     

    Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
