ESSENTIAL DUTIES
Work closely with all members of the People & Culture team to support operational goals in all aspects of Human Resources and provide day-to-day administrative support to enhance the employee experience.
Responsibilities will include the following, but are not limited to:
Departmental Support
+ Provide day-to-day administrative support to the HR team, including scheduling, data entry, invoices, budget, and responding to employee inquiries
+ Support the onboarding and offboarding processes, ensuring smooth transitions and compliance with internal processes as requested
+ Maintain and update employee records, files, and HRIS data with a high degree of accuracy and confidentiality
+ Provide support documentation to Payroll as needed
+ Support benefits administration including open enrollment and ORCA card management
+ As directed assist with compliance-related tasks including employee file audits, required notices, leaves of absence tracking, workers compensation case management, and training record tracking
+ Support the recruitment process by scheduling pre-screens and interviews with internal and external candidates as directed
+ Participate in projects and initiatives within HR, driving process improvements, automation, and efficiencies
+ Contribute to employee communications and engagement initiatives
+ Lead the scheduling, speaker coordination, and execution of monthly All-Staff meetings including F&B component
+ Support the execution of multiple P&C employee morale events and ad hoc events developed in partnership with other departments
+ Serve as primary point of contact for sending general all-staff announcements
+ Code invoices, submit for payment, and track expenses as requested
+ Responsible for maintaining People & Culture and Employee Resource Center intranet SharePoint sites
+ Contribute to an institutional focus of delivering exceptional, welcoming, and inclusive customer service—creating positive, meaningful experiences for all visitors, every time
+ Participate in institutional learning opportunities to grow our collective understanding and integration of antiracism, cultural competency, and equity values into SAM’s work
WE ARE LOOKING FOR
Required Qualifications
+ Associate’s degree or equivalent combination of education and experience
+ Two years’ experience in a Human Resources support or administrative role
+ Basic knowledge of Washington State and federal employment laws and HR best practices
+ Demonstrated ability to handle sensitive information with confidentiality and discretion
+ Detail-oriented with a high level of accuracy in data entry and recordkeeping
+ Growth mindset and willingness to learn and take initiative
+ Ability to simultaneously manage several projects
+ Successfully assess priorities, work well with deadlines, and strong time management
+ Demonstrated ability to establish and maintain effective relationships with executives, management, employees, interns, and the public
+ Professional verbal and written communication, with an ability to tailor communications according to audience
+ Proficiency in Microsoft Office Suite
+ Experience with HRIS and ATS systems, ability to learn SAM HRIS and ATS systems
+ Ability to pass and maintain security background check clearance
Preferred Qualifications
+ Certificate or equivalent in Human Resources
+ Experience in the non-profit sector, preferably arts & culture
+ Familiarity with ADP HRIS systems
+ Skilled spreadsheet management, budget support and data collection

WORK SCHEDULE
This role is typically scheduled to work business hours Monday - Friday. However, the needs of this role require a willingness to work a flexible schedule in support of the department or organization as directed by your supervisor. COMPENSATION $26.20 - $29.13 per hour

WORK CONDITIONS
Exposure: Work areas are primarily inside, in a climate-controlled environment with moderate background noise.
Stationary Work: Approximately 80% of time is spent stationary while working at a desk. Balance of time (approximately 20%) is spent moving around the work area. Occasional extended periods of standing may be required when assisting at Museum events.
Communication: Clear and effective verbal and written communication in English with trustees, the public, and co-workers is necessary.
Vision: Ability to effectively use a computer screen and interpret printed materials, memos and other appropriate paperwork.
Office Work: Ability to effectively and regularly operate a computer, keyboard, telephone, and other office productivity machinery, such as copy machines and printers, and ability to inspect, prepare and use paperwork, files, equipment, and supplies is necessary.
