    Description

    The Program Coordinator duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.

    KEY RESPONSIBILITIES:

    + Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.

    + Conducts research and gathers information to develop various publications.

    + Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.

    + Assists in developing and coordinating program-related conferences, conventions, or meetings.

    + Monitors expenditures and may participate in the budget planning process and prepare financial reports.

    + May assist in identifying funding resources and developing fund-raising strategies and initiatives.

    + Prepares operational and statistical reports.

    + Conducts training, represents the program at meetings and conferences, and networks with affiliated groups. May supervise assigned project staff, interns and/or volunteers.

    + Performs related responsibilities as required.

    MINIMUM QUALIFICATIONS:

    + Bachelor's degree in a field related to the program.

    + Two years of related experience, or an equivalent combination of education, training and experience.

    ADDITIONAL JOB DETAILS:

    The English Graduate Program Coordinator (GPC) is a student-facing role providing comprehensive support to students throughout their academic journey.

     

    The GPC serves as a first point of contact and the primary source of information regarding students’ progress through the graduate program. From admissions through graduation, they serve as a key point of contact for academic advising, program information, navigating a variety of university resources. The GPC is integral to the student experience as a source of information, and assists students with diverse needs, such as resolving issues, connecting with relevant departments, maintaining student records, tracking progress, and preparing reports.

     

    This position also serves as a liaison between students, faculty, and the graduate school administration, providing guidance on course selection, program requirements, and career planning. The GPC also supports the administrative needs of graduate students, faculty, and the program, including overseeing recruitment, managing various program activities and ensuring degree completion for a one of the largest communities of graduate students in the humanities, nearly 40 students across the 5 funded years and additional students on 6th-year fellowship, not to mention recent graduates and alumni needing different kinds of support and information.

     

    To conclude, the GPC has responsibility for the administration of the graduate program. The coordinator also serves as a liaison to Laney Graduate School. The GPC is responsible for the coordination of graduate recruitment management.

     

    The grad coordinator, working directly with English’s Director of Graduate Studies, Director of Graduate Admission, Department Chair, and graduate program committees, must develop appropriate procedures for recruiting PhD candidates from an applicant pool.

     

    The grad program coordinator ensures that consistent communication is established with selected candidates, and all applicants receive notification of their admission, non-admission, or wait-list status for the program.

     

    The GPC holds the unique responsibility of being conversant in computer systems including Slate, Degree Tracker, CourseLeaf, OPUS, Canvas, Laney Connect, Docusign, Listserv, 25Live, Course Evaluation Toolkit, Course Atlas, CLSS, PeopleSoftHR, InDesign, Cascade, EBI, Emory Express, and Compass to submit pay requests for PDS funds and grad student reimbursements. Responsibilities include:

     

    + Register graduate students for courses, all students for each semester, as well as enrolling students from other departments withfaculty permissions

    + Track all graduate student progress and fulfillment of requirements: follow their progress using the handbook and Degree Tracker, being particularly aware of JPE and TATT courses

    + Contact graduate students who have problems with their accounts and assist them in lifting the hold; keep careful track of stipend changes

    + Answer potential and current graduate student questions about requirements and LGS rules and procedures

    + Stay current on changes for international students and assist with understanding and fulfilling requirements (from visa to languagerequirements)

    + Manage and administer the English graduate student operating budget; recruiting budget; PDS funds; and GSC travel grants

    + Process graduate student forms in relation to international travel, requests for research funds, and requests for travel funds

    + Process payments to graduate students (grants, PDS funds, etc.) as well as knowing the PDS handbook

    + Organize and compile materials for graduate student review meetings

    + Assemble and administer preliminary and qualifying exams

    + Reserve rooms for graduate student activities such as dissertation defenses, study abroad program meetings, etc.

    + Review and verify degree completion requirements for graduate students

    + Collect data on the graduate program to assist in planning and writing the annual LGS report; take minutes at the graduate program committee meetings

    + Coordinate actions related to graduate student courses, from finding rooms to keeping track of course changes

    + Track and update information for well over 200 English PhD and MA alumni, including current positions and publications

    + Work with the DGS to update the student handbook as well as information on the department and LGS websites

     

    NOTE: Position tasks are required to be performed in-person at an Emory University location; working remote is not an option. Emory reserves the right to change this status with notice to employee.
