Position Summary:
Florida Atlantic University is seeking an Assistant Director of Alumni Relations and Board Operations – Boca Raton, FL.The Assistant Director of Alumni Relations and Board Operations will assist in the management of the Alumni Association Board of Directors, provide support to the AVP in pioneering relationships with notable alumni in the community, co-manage a strategy for alumni-owned businesses, and build out opportunities for career ascension for alumni and other stakeholders. This role also includes managing several liaison assignments as well as coordinating and tracking alumni data to tell the story of alumni and community engagement at Florida Atlantic. Building a pipeline of meaningful alumni engagement is a key priority for this area. This team member will be responsible for identifying alumni to more deeply connect with the active community at Florida Atlantic, increasing support, and building out an active alumni base. This role will assist the AVP and unit in promoting a culture of philanthropy and mobilizing alumni, students, families, and other stakeholders’ involvement while increasing and tracking engagement (focused on the CASE alumni engagement metrics of experiential, volunteer, communications, and philanthropy). This position will include other duties as assigned to support the University, Division, Alumni, and Community Engagement as a whole. This role is pivotal for the continued growth and engagement of the Florida Atlantic community. The ideal candidate should be extremely organized, passionate about alumni and volunteer engagement, strong at fostering relationships and responsiveness, and excited about sustaining and building traditions.
Summary of Responsibilities includes:
Alumni Association Board Support:
+ Manage the roster of board directors, terms, and completion of activities. Track fulfillment of board requirements such as attendance, financial obligations, and network support.
+ Coordinate and oversee logistical operations of all board activities, including, and not limited to: Full Board Meetings, Committee Meetings, annual Board Retreat, Annual Meeting of the Past Board Chairs, other special events and activities.
+ Oversee board governance, including review of governing documents and facilitation of revision processes.
+ Draft all communications related to board activities, Board PowerPoints/presentations, email, and WhatsApp channel management.
+ Follow through with the volunteer roles and responsibilities by role and or special project.
+ Communicate about special appearances/opportunities for board directors.
+ Support the Nominating Committee and the various tasks related to that committee’s role, such as board director recruitment, elections, orientation, officer transitions, Board Buddy assignments, and relationship management.
+ Track board director involvement in appropriate data management tools.
Notable Alumni, Career Engagement, Alumni-Owned Business Strategy:
+ Assist the AVP and assigned team members in the identification and engagement of notable alumni in the community.
+ Co-develop and manage a strategy for alumni-owned businesses.
+ Work with the team focused on opportunities for career ascension for alumni and other stakeholders.
Technology Management, Data, and Finances:
+ Responsible to the AVP on tracking all departmental Key Performance Indicators, CASE metrics, data gathering, and storytelling.
+ Ensure data integrity through weekly and monthly tracking and reporting of various departmental initiatives.
+ Track the assigned budget and finances, such as expenses related to the Board of Directors.
Assessment & Research:
+ Work with Advancement Services and communications teams to create and produce reports that track attendance and participation rates.
+ Identify key stakeholders related to responsibilities to receive reports and align with unit metrics, goals, and KPIs. Use CASE and other resources to investigate the most effective practices for alumni and community engagement.
+ Administer platforms like Active Campaign, RENXT/Classic, Blackbaud, Monday.com, and become proficient in Hivebrite (Florida Atlantic Alumni Portal), plus any other technologies in play by the unit to engage and support alumni.
Additional Responsibilities:
+ Assist the AVP in leading the Alumni Participation Rate and Alumni Engagement committees and other special assignments.
+ Liaison relationships as assigned.
+ Other job-related duties as assigned or determined to align with the purpose of the unit.

Minimum Qualifications:
