    The New York City Department of Correction (DOC) is an integral part of the City’s evolving criminal justice system, participating in reform initiatives and strategies aimed to move the city towards a smaller jail system without compromising public safety. The DOC is responsible for maintaining a safe and secure environment for our employees, visitors, volunteers, and people in our custody. Importantly, safe jails enable DOC to provide people in custody with the tools and opportunities they need to successfully re-enter their communities. The DOC operates facilities and court commands across the five boroughs with more than 7,500 diverse professionals and knowledgeable experts.

     

    The Department of Correction seeks to hire an Administrative Coordinator, who, under the direction of the Executive Director of the Central Operations Desk (COD) and Deputy Director, will provide administrative and technical support to the agency’s 24/7 operational communications system and unit. The chosen candidate will have demonstrated experience supporting the management of day-to-day quality assurance, records management, and administrative tasks. The selected

    candidate’s responsibilities may include but will not be limited to the following:

    - Provide a broad variety of high-level administrative tasks for the Executive Director and COD leadership team, including managing the calendar, trainings, tracking reports, creating schedules, purchasing office equipment, supplies and more;

     

    - Provide quality assurance of written documentation and reports sent by the COD to ensure accuracy;

     

    - Create and manage a formalized records management process for COD and liaise with the department’s Legal Division and Records management team on records policy;

     

    - Support all follow up, action items, materials in advance and concluding internal meetings;

     

    - Ensure all COD staff are schedule to participate in all training mandates;

     

    - Coordinate and assign the secure disposal of records and property in accordance with retention schedules and legal requirements;

     

    - Ensure records management systems, including electronic databases and physical filing systems, are maintained and updated;

     

    - Liaise with internal stakeholders including human resources, Labor relations, training, and audit teams;

     

    - Represent COD at meetings as needed or designated;

     

    - Perform related duties as assigned or as necessary

    Preferred Skills:

    - Ability to prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion, within prescribed deadlines;

     

    - Familiarity with emergency management, law enforcement, and correction;

     

    - Experience in city, state and federal government a plus;

     

    - Excellent writing, editing, communication, inter-personal, time-management and organizational skills;

     

    - Ability to retain confidential information;

     

    - Ability to work quickly under pressure and strict deadlines while still ensuring a high-quality work product;

     

    - Possess commitment to a collaborative work ethic;

     

    - Knowledge of communications, community engagement practice, recruitment, and marketing; Microsoft Office

     

    (Word, Excel, PowerPoint, Outlook), social media and other data sources proficiency.

    PRINCIPAL ADMINISTRATIVE ASSOC - 10124

    Qualifications

    1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or

    2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or

    3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;

    4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

    Salary Min: $ 66,062.00

     

    Salary Max: $ 75,971.00
