    University Associate Director of Student Records, Office of the University Registrar

    POSITION DETAILS

    The Office of the University Registrar (OUR) within the Office of Enrollment Management supports the academic integrity of The City University of New York (CUNY) by overseeing student records, enrollment-related technologies, and university-wide academic processes. Based within the Central Office, OUR serves as a resource partnering with CUNY campuses to enhance student success, streamline academic operations, and uphold institutional policies.

     

    Reporting to the University Director of Student Records Operations, the University Associate Director of Student Records plays a key leadership role within OUR by supervising daily operations, managing technology platforms, implementing university-wide initiatives, and serving as a subject-matter expert for student records functions across CUNY’s campuses.

    In addition to the CUNY Title Overview information, other key duties include, but will not be limited to the following:

    •Serve as a member of OUR’s leadership team, aligning priorities with strategic goals and the CUNY Strategic Plan.

    •Lead high-impact, university-wide enrollment and student records initiatives focused on process innovation, policy integration, and technology optimization.

    •Supervise and develop professional and entry-level staff, fostering an environment of accountability, collaboration, and growth through performance coaching and delegation.

    •Manage system-wide implementation and administration of Coursedog modules (Curriculum, Academic Scheduling, Catalog, Events, and Course Demand Projections) and EAB Navigate, CUNY’s academic advisement tool.

    •Serve as primary point-of-contact with vendors (e.g., Coursedog, Ellucian, Parchment, Modern Campus) to support integrations, system enhancements, and data integrity across platforms.

    •Apply data tools (e.g., APIs, batch processes, SQL/Query tools) to support technical processes and reporting within student records systems.

    •Evaluate and recommend business process improvements to enhance data accuracy, system usability, and operational efficiency.

    •Act as a liaison with campus registrars, Central Office IT, Office of Applied Research, Evaluation and Analytics (OAREDA), and other University stakeholders to align policies, technology, and operations.

    •Ensure compliance with FERPA, state and federal regulations, and institutional standards across all student records processes.

    •Design and deliver training for campus users on new and existing technologies and maintain comprehensive documentation and technical user guides.

    •Produce and present strategic reports and data analytics to inform decision-making and monitor service quality.

    •Oversee critical academic operations including grade collection, academic standing notifications, Dean’s List/honors processing, and graduation audits.

    •Other duties as assigned.

    NOTES:

    Until further notice, this position is eligible for a hybrid work schedule.

    QUALIFICATIONS

    MINIMUM

    Bachelor’s degree and six years’ related experience required.

    PREFERRED

    •At least 4 years of progressively responsible experience in college admissions, records, transcript evaluations, or academic credential review.

    •Demonstrated experience supervising operations and staff in a higher education setting.

    •Working knowledge of curriculum, academic governance, transfer admissions, transcript evaluation, and transfer credit processes.

    •Proficiency with student information systems and reporting tools (e.g. Oracle/PeopleSoft, CUNYfirst, PeopleSoft Query, SQL, Crystal Reports).

    •Experience with analytical tools such as Tableau or other statistical software packages.

    •Strong written, oral, and interpersonal communication skills, including experience delivering presentations and training.

    •Demonstrated ability to manage multiple priorities, establish goals, and meet deadlines in a fast-paced, collaborative environment.

    •Commitment to service excellence, data integrity, and continuous improvement.

    •Ability to understand and translate technical concepts for diverse audiences across organizational levels.

    CUNY TITLE OVERVIEW

    Manages one or more centralized student enrollment functions and related data, systems and technologies.

     

    - Maintains operational responsibility for centralized enrollment functions which support activities such as registration, records management, and advisement

     

    - Audits and validates business practices, data, and reports related to CUNY's primary administrative system (CUNYfirst)

     

    - Maintains consistent enrollment practices based on established policies and guidelines

     

    - Works with campus and University-level offices to coordinate student enrollment/records functions and address systems performance issues

     

    - Manages and trains staff

     

    - Performs related duties as assigned.

    COMPENSATION AND BENEFITS

    The salary range is **$79,188 - $90,375** , commensurate with credentials, education, and experience.

     

    CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 6.09% with additional increases of 3.25% effective 9/1/2025 and 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
