Job Summary
The Department of Recreational Sports is seeking a Sports Club Coordinator. This is a full-time (1.00 FTE ), 12-month, professional faculty position.
The Department of Recreational Sports is a unit of the Division of Student Affairs that is committed to equalizing student success. We focus on informing, engaging, educating, equipping, and inspiring students as advocates for individual and community wellbeing. Recreational Sports provides opportunities to enrich student development and enhance transferable skills through experiences in our spaces, programs, and services, including the student employment program. The Sport Club Coordinator organizes and plans the operation, delivery, and supervision of a comprehensive and complex Sport Programs area that includes sport clubs and intramural sports. The primary focus of the position is the Sport Club program which is designed to provide leadership and student development for the participants and create a connection to the campus community through structured sports and events. This position coordinates the delivery and advising of the Sport Club Program that includes a diverse offering of forty student sport club teams with over 1,800 participants. This position supports the Sport Club Manager in the coordination of club finances, facility needs, risk management, staff and volunteer supervision, travel, training, student development, and student conduct. The Coordinator executes Sport Clubs activities that have a broad scope of local, regional and national competition and events that require collaboration with OSU departments, other universities and national governing bodies. The position schedules and provides on-site event coordination for Sport Club competitions and events. This position also assists in the delivery of the Intramural Sports Program and provides on-site leadership for student employees and participants to ensure Sports Programs and University policies and procedures are adhered to during activities.
The Sport Club Coordinator is integral to the delivery of programs that are designed to enhance the wellness, leadership development, and participant connection to the campus community through structured sports, events, and general recreation activities. This position reports to the Sport Club Manager and works collaboratively with fellow Sport Programs staff with shared oversight student employees, over 50 intramural leagues and events with over 10,000 participants annually, and events in partnership with other units that support student retention and success.

Key Responsibilities
50% SPORT CLUBS
Coordinates the administration and advising of the Sport Club Program that includes a diverse offering of student sport club teams. Works in partnership (facilitator model) with student leaders and clubs to successfully implement sport club activities while adhering to university, department, and national governing body policies, procedures, and safety/risk management regulations. Coordinates, implements, and evaluates outcome-based leadership training for sport club leaders, members, and coaches. Reviews, reports, and approves sport club financial accounts, including budget development, purchase requests, payments, sponsorships, fundraising, donations, and gift-in-kinds. Complies, reviews, and submits sport club contracts, agreements, and permits for approval through OSU Procurement and Contract Services. Coordinates the submission of sport club team activity schedules including facilities, equipment, marketing, and maintenance. Coordinates, advises, and approves club activity including practices, games, tournaments, events, and travel. Reviews sport club marketing/promotion in conjunction with department and university marketing/branding guidelines. Maintains online sport club database registration and management of membership, activity, equipment, coach information, reports/evaluations, marketing/promotion requests, budget/sponsorship requests, and awards. In conjunction with Sport Programs Staff determines discipline for violation of Sport Club Program policy and works in consultation with OSU Student Conduct Office on student code of conduct matters. Coordinates and delivers social justice training for the Sport Club Program to align with department, Student Affairs and OSU strategies.
20% SPORT PROGRAMS SERVICE DESK ADMINISTRATION
Provide oversight and management for the operations of the Sport Programs Service Desk. Hires, trains, schedules, supervises, assigns work, and evaluates 6-8 student service desk staff. Develop and implement customer service training for student staff and ensure Sport Programs specific communications are prepared for distribution. Coordinate with professional peers on the responsibilities of the service desk and associated timelines. Determine, prioritize and assign daily tasks to student staff and monitor for appropriate completion. Train and mentor student service desk staff in a variety of areas including, but not limited to problem solving, conflict resolution, and career readiness. Develop service desk budget, including student pay and ensure the service desk has appropriate supplies and technology to serve Sport Programs participants and staff.
20% SUPERVISION
Hires, trains, schedules, supervises, assigns work, and evaluates student personnel including student staff (senior sport program associates, sport program associates), and practicum/internship students.. Provides supervision oversight of approximately 35-40 volunteer sport club coaches. Coordinates, implements, and evaluates outcome based developmental trainings and meetings for student staff and sport club coaches.
5% INTRAMURAL SPORTS
Provides on-site event coordination and supervision for Intramural Sport activities. This position also assists in the delivery of the Intramural Sports Program that includes a diverse offering of over 50 intramural sport leagues and events. The Coordinator provides on-site leadership for student employees and participants to ensure Sports Programs and University policies and procedures are adhered to during activities. Maintains knowledge of recreational management software (IMLeagues) that supports league, activity, participant, and management, as well as official and game scheduling.
5% GENERAL ADMINISTRATIVE RESPONSIBILITIES
Participates in the development of the Sport Programs area long term and short term strategic planning in areas of programs, personnel, department policies, budgets, and facilities and risk management. Represents Recreational Sports at division, university, and community levels in areas such as, committee work, program development and community engagement. Pursues professional development opportunities. Other duties as assigned by the supervisor.
What You Will Need
+ Bachelor’s degree in sport management, human sciences, public health, business, communications, or related field.
+ Demonstrated experience in the administration and implementation of intramural sports, sport clubs, recreational or activity programs and events, and/or related fields.
+ Demonstrated experience, knowledge, and ability in supervising, advising, training/development, and evaluating employees and/or practicum/interns.
+ Demonstrated experience, knowledge, and ability in event management including the organizing, coordinating, mitigating risk, implementing, and evaluating of sport programs and events.
+ Demonstrated organizational skills to prioritize workload and meet work assignments while handling multiple tasks and deadlines.
+ Excellent written and oral communication skills
+ A demonstrable commitment to promoting and enhancing an inclusive work environment.
+ Certification in CPR for the Professional Rescuer with AED , Standard First Aid and Blood Borne Pathogens/Universal Precautions.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
+ Demonstrated experience coordinating a comprehensive Sport Club Program.
+ Demonstrated experience, knowledge, and ability in sport league management, including game and facility scheduling, staff management, and program evaluation.
+ Demonstrated financial management experience including budget development and reporting.
+ Demonstrated experience in contracting, procurement, and insurance.
+ Demonstrated experience, knowledge, and ability with online data and scheduling management systems in supporting student organizations and/or sport leagues/activities.
Working Conditions / Work Schedule
+ Typical work schedule will be between 9am-6pm including evening and weekend hours to engage and support Sport Programs staff and participants.
+ Primarily office setting, but occasionally requires a person to demonstrate and be active in event coverage, staff training, participation in sport activities, and set-up/clean up of events.
+ Employee may need to push, pull, lift, and carry objects up to 50lbs.
