    POSITION DETAILS

    The Graduate Center (GC) is the focal point for advanced teaching and research at the City University of New York (CUNY), the nation's largest urban public university.     The Graduate Center benefits from highly ambitious and diverse students and alumni-who in tum teach hundreds of thousands of undergraduates every year. Through its public programs, the Graduate Center enhances New York City's intellectual and cultural life.

     

    The MA/Ph.D. Program in Linguistics has approximately 65 students and 30 faculty members. The Assistant Program Officer (APO) serves as a resource person for applicants, students, and faculty regarding requirements and procedures of the Ph.D. Program. The APO reports to the Executive Officer (EO) of the Program. In conjunction with the EO, the APO evaluates and monitors student progress in fulfilling requirements for the degree, including major program examinations, advancement to candidacy, and meeting time limits for completion of the degree.

    Duties include but are not limited to:

    - Assists the EO in scheduling the Program's courses, committee meetings, examinations and dissertation defenses.

     

    - Keeps a records of student progress, reminds students of key milestones and deadlines, and informs students when they change levels.

     

    - Schedules students’ qualifying paper, proposal, and dissertation defenses with the EO.

     

    - Assists students with filing forms with various offices: financial aid, international students, registrar, etc.

     

    - Prepares reports as needed by the EO.

     

    - Responsible for correspondence with students and faculty on behalf of the EO as needed.

     

    - Supports the EO’s and Deputy EO’s work with admissions and registration, tracking the program’s budget, correspondence, records and files, committee meetings, colloquia, and special events.

     

    - Manages office records including faculty, student and alumni files; collects and maintains statistical data on program activities; maintains and updates student, faculty and alumni records on database and in file folders; maintains and updates email lists for faculty, students, and alumni.

     

    - Assists in recruiting, hiring, supervising, and evaluating activities of part-time staff such as college assistants and student assistants assigned to the program office.

     

    - Orders equipment and supplies and ensures office machines, computers, copy machines, scanner, telephones, etc. are in working order, contacts IT if servicing is needed.

     

    - Updates the program website, including admissions information; maintains and updates learning platform sites and student digital files; assists in the preparation of the program’s newsletter; collects and compiles information about students, faculty and alumni achievements; prepares and supervises mailings (both email and mail); designs posters and flyers to advertise events.

     

    - Prepares the speaker series announcements which are sent out by email.

     

    - Maintains file of all current and past course descriptions; collects and reviews syllabi and other program documents to ensure compliance with program and GC and CUNY policy and procedures.

     

    - Arranges rooms for classes, meetings, seminars and special events as needed and informs the various parties as to time and location.

     

    - Prepares payments for vendor services and tracks program fund balances.

     

    - Advises applicants regarding general program requirements and refers them to appropriate faculty for further advisement and evaluation.

     

    - Evaluates student progress in fulfilling requirements for the degree using program records and the online student information systems.

     

    - Maintains a current record of students available for teaching internships, Graduate Teaching Fellowships, tutoring, and research positions; informs students of opportunities for these as they arise.

     

    - Performs other related duties as assigned.

     

    This position requires the incumbent to work in person.

    QUALIFICATIONS

    Bachelor's Degree required.

     

    A preferred candidate should have:

    Candidates must be legally authorized to work in the United States on a full-time basis. Sponsorship will not be offered for this position.

    CUNY TITLE OVERVIEW

    Provides basic operational and analytical support related to a College's specialized academic program.

     

    - Supports the directors and managers with orientation preparation, student advisement regarding program requirements, and providing basic information about financial aid and registration

     

    - Manages office records including faculty files; prepares reports and surveys; collects and maintains statistical data on program activities

     

    - Serves as liaison to various College offices to provide service delivery and appropriate referrals to students

     

    - Collects and reviews syllabi to ensure compliance with standards

     

    - Serves as resource person for students and faculty regarding program policies and procedures

     

    - May supervise office operations and/or monitor department budget

     

    - Performs related duties as assigned.

    COMPENSATION AND BENEFITS

    $74,754-$84,815/year (salary as of 9/1/25). Salary commensurate with education and experience.
