Job Description: Accounts Payable (AP) Specialist
Position Overview:
An Accounts Payable (AP) Specialist is responsible for managing a company's financial transactions related to the payment of goods and services. This role ensures that invoices are processed accurately and efficiently, vendors are paid on time, and financial records are properly maintained. An AP Specialist plays a key role in maintaining strong vendor relationships while contributing to the company's overall financial stability and compliance.
Key Responsibilities:
+ Invoice Management:
+ Review, verify, and process vendor invoices in an accurate and timely manner.
+ Match invoices with purchase orders, contracts, and receiving documents to ensure accuracy.
+ Resolve discrepancies related to invoices or payments through communication with vendors and internal departments.
+ Payment Processing:
+ Prepare and process electronic payments (ACH, wire transfers) and checks.
+ Ensure timely and accurate vendor remittance and address payment inquiries.
+ Reconciliation and Reporting:
+ Reconcile monthly accounts payable transactions, including vendor statements and GL postings.
+ Assist in month-end and year-end financial close processes by preparing reports and supporting documentation.
+ Compliance and Records Management:
+ Maintain compliance with financial regulations and company policies.
+ Properly store and organize financial documents for audits and future reference.
+ Vendor Relations:
+ Act as the primary point of contact for vendors regarding billing, payments, and account inquiries.
+ Build and maintain positive vendor relationships by addressing concerns promptly and professionally.
+ Process Improvement:
+ Identify opportunities to improve AP processes for greater efficiency and accuracy.
+ Work closely with the finance team to implement automation tools, ERP systems, or other software solutions.
Qualifications and Skills:
+ Educational Background:
+ Associate’s degree in accounting, finance, or a related field (Bachelor’s degree preferred).
+ Relevant certifications or coursework in accounts payable or financial operations is a plus.
+ Technical Skills:
+ Proficiency in ERP systems, such as SAP, Oracle, or Microsoft Dynamics (Source: xFA, SG25-TREND 6).
+ Advanced Excel skills, including the ability to use pivot tables, formulas, and VLOOKUP (Source: xFA, SG25-TREND 5).
+ Experience:
+ 2+ years of accounts payable or general accounting experience.
+ Familiarity with compliance reporting and financial reporting practices.
+ Key Competencies:
+ Strong attention to detail and organizational skills.
+ Excellent problem-solving and analytical abilities.
+ Effective communication skills to collaborate with vendors and team members.
Requirements • Minimum of 3 years of experience in accounts payable or a related accounting role.
• Proficiency with online accounting systems and tools.
• Familiarity with 1099 reporting processes and requirements.
• Strong attention to detail and accuracy in financial tasks.
• Excellent customer service skills with effective oral and written communication abilities.
• Solid math, analytical, and problem-solving capabilities.
• Ability to work independently and manage multiple priorities in a fast-paced environment.
• Proficiency in Microsoft Office applications, including Access, Word, and Excel.
