Manage phone systems, calendars, and schedules. Coordinate incoming mail, vendor invoices, record-keeping, and supplies. Assist with company event planning, must be eligible to work in the U.S. coordination, compliance, and HR support. Act as the facilities manager, proactively arranging maintenance, ordering office supplies, and supporting conference rooms. Support technology troubleshooting and handle special projects. Requirements Customer Service & Communication Skills: Ability to greet and professionally direct visitors. Exceptional interpersonal and phone communication skills, including discretion when forwarding calls or messages. Organizational Skills: Proven experience managing office calendars, including scheduling meetings and coordinating events. Expertise in sorting and routing mail, publications, and express delivery services effectively. Capacity to manage vendor invoices, payment logs, and record-keeping for expenses. Administrative & Problem-Solving Skills: Proficiency in supporting compliance efforts, including audits, procedural manual maintenance, and administrative support to leadership (COO and CCO). Ability to assist with HR initiatives, such as team-building activities, policy maintenance, and employee training. Strong problem-solving aptitude for day-to-day challenges, including technology issues and special projects. Facilities Management: Experience ordering, stocking, and distributing office supplies. Ability to coordinate with and manage service vendors for janitorial, phone/internet, and maintenance needs. Demonstrated ability to oversee kitchen and conference room upkeep. Event Planning & Coordination Skills: Strong organizational ability to plan and execute events, including vendor communication, venue preparation, and invitation creation. Experience with must be eligible to work in the U.S. management, including ad development, contract communication, and payment coordination. Skilled in providing updates and reports to leadership throughout the event planning process. Financial Accuracy Skills: Detail-oriented in receiving and logging client check deposits. Proficiency in managing partner expense records and ensuring accuracy in financial documentation. Tech Proficiency: Knowledge of office systems, voicemail management, and basic troubleshooting for technology issues. Personality Alignment: Passion for administrative roles and long-term commitment to supporting a team. Positive attitude, willingness to remain in the role long-term, and enthusiasm for office management tasks.
