Description
The Project Coordinator is an integral contributor to project execution and operational excellence across cross‑functional teams. Working closely with project managers, engineering teams, and external partners, you will coordinate activities, track progress, maintain documentation, and facilitate communication to ensure timely and successful project outcomes.
Key Responsibilities
+ Planning & Coordination: Support project managers in planning, scheduling, and coordinating project milestones.
+ Monitoring & Tracking: Work with engineering teams and partners to monitor project timelines and costs; track deliverables and follow up on action items.
+ Billing & Documentation: Issue customer billing and AIA documentation; maintain key project documents including invoices, meeting notes, subcontractor/vendor invoices, and change order logs.
+ Reporting: Generate weekly and monthly project status reports for project management leadership and stakeholders. Assist with project invoicing as directed by Project Managers.
+ Liaison Duties: Serve as the primary contact between internal departments (Projects, Sales, Service) and facilitate project turnover meetings for new projects.
+ Vendor Management: Set up new vendors and subcontractors in the purchase order (PO) system.
+ Process Improvement: Assist in implementing and maintaining project management processes and tools; support risk assessment and mitigation strategies.
+ Cost & Budget Support: Support cost tracking and budget monitoring in collaboration with Project Managers and Project Engineers.
+ Team Collaboration: Participate in team planning sessions and knowledge‑sharing initiatives to ensure alignment and continuous improvement.
Requirements
Qualifications
+ High school diploma or equivalent.
+ At least 2 years of experience in project coordination or a similar role.
+ Proficiency in MS Office (Excel, PowerPoint, Outlook); experience with MS Project or similar tools is a plus.
+ Strong organizational and time‑management skills.
+ Excellent written and verbal communication abilities.
+ Ability to thrive in a fast‑paced, team‑oriented environment.
+ Detail‑oriented with a focus on quality and accuracy.
Preferred Qualifications
+ Bachelor’s degree in Business, Engineering, Project Management, or a related field.
+ Experience in the HVAC or manufacturing industry.
+ Familiarity with Agile or Stage‑Gate project management methodologies.
