    The North Carolina Department of Transportation (NCDOT) Ferry Division is seeking a dependable and detail-oriented individual to provide a range of office and technical support duties. This position plays a vital role in supporting the daily operations of the Vessel Asset Management Department by maintaining accurate records, processing critical documents, and assisting with financial, personnel, and compliance-related tasks.

     

    This position involves working independently or alongside other technical/professional staff, with assignments that vary based on departmental needs. The employee will handle responsibilities related to records and reports, file management, and public or interdepartmental contact.

    Key Responsibilities Include:

    + Compile regular reports, such as Vessel Preventive Maintenance completion, overtime summaries, vacancy reports, vessel inspections, and weekly status updates.

    + Utilize Office 365 (Excel, Word, PowerPoint) to create presentations, spreadsheets, memos, and letters.

    + Process invoices and requisitions in BSIP/SAP; assist with P-card documentation, uniform tracking, and travel reimbursements.

    + Track and support performance management (NCVIP), including monitoring goal completion and department progress, and reporting to leadership.

    + Maintain and organize records in accordance with state retention and disposition schedules (e.g., payroll, time sheets, vessel maintenance logs).

    + Serve as a point of contact for inquiries about departmental procedures, with occasional public contact at ferry terminals or shipyard locations.

    + Operate standard office equipment including computers, printers, scanners, fax machines, and multi-line phone systems.

    + Perform additional administrative duties as assigned by the Assistant Director.

     

    Knowledge, Skills and Abilities / Competencies

    •Demonstrated ability to demonstrate and apply knowledge in performance of administrative tasks; ability to explain and interpret information to clients/customers and staff.

    •Demonstrated ability to compile, assimilate and organize both printed and electronic information.

    •Demonstrated ability to utilize office equipment and other relevant technology (software and systems) to meet organizational needs.

    •Demonstrated ability to identify and understand issues, problems, and opportunities; use effective approaches for choosing a course of action or developing appropriate solutions.

    •Demonstrated ability to present ideas clearly and effectively in written form; ability to adjust language or terminology to meet the needs of the audience; ability to use correct grammar, organization, and structure.

     

    Minimum Education and Experience Requirements
