    Job Summary

    The Programming Advisor serves as an integral part of the professional staff within Student Governance & Leadership, working directly with the Associated Students of the University of Utah ( ASUU ). They serve as a professional adviser who is responsible for advising, managing and maintaining the logistics of programs and activities including but not limited to development, implementation, promotion, and evaluation of all ASUU events, in conjunction with advisement of elected and appointed ASUU student leaders.

     

    The ASUU Office is a very fast-paced environment with students, staff and community members consistently having various needs. As the Programming Advisor, this position works with the Executive Branch of student government to creative transformative leadership opportunities that result in high-quality, student-led events for both programs and initiatives.

     

    The incumbent will report to the Associate Director of Student Leadership & Outreach

    Responsibilities

    1. Advises the Campus Events Board and other ASUU boards as assigned

    2. Oversees administrative matters regarding the wide variety of the student-led programming efforts of ASUU .

    3. Provides on-site presence and support for events, to ensure coordination of all aspects of the event.

    4. Will regularly work a varied schedule, including early mornings, evenings, and weekends. Schedule is dependent on when student events are calendared.

    5. Manages and advises on budget and resource management for ASUU events and programs. Forecasts, prepares or directs the preparation of the program budget and monitors expenditures.

    6. Negotiates terms of large and small scale contracts and/or service agreements as per University policies and procedures.

    7. Provides leadership and guidance for student-led participation to improve and deepen the quality of ASUU programs and initiatives.

    8. May supervise one or more part-time student employees

    9. Coordinates all arrangements for security, risk management, grounds, transportation, accommodations, audio/visual requirements, and hospitality for programs and events.

    10. Serves as the department risk-management expert for programming. Assists in the development of department or program specific policies and procedures.

    11. Serves as department representative in addressing issues and questions related to the programs, which may include representing the department on various committees.

    12. Stays abreast of regulatory or other related changes impacting the program and makes recommendations for improvement and compliance.

    13. May be required to provide office support, assist students and customer service opportunities, assist in the revision and implementation of policies and procedures, and to participate as staff representation on existing university committees.

    Minimum Qualifications

    Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience).

     

    Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Master’s degree in a related area may be preferred.

    Preferences

     

    Master’s degree in a Student Affairs and/or Higher Education preferred. Experience working directly with student leaders. Demonstrated excellent interpersonal and communication skills required as well as a desire to work in a team setting are required. Ability to work effectively and efficiently with a variety of constituencies including students, parents, faculty/staff, community organizations and vendors is required. The incumbent must be capable of prioritizing and managing several tasks concurrently in a fast paced environment.

     

    Incumbents must have the ability to make rational decisions in high-pressure situations, be highly detail oriented, must be available to work nights and weekends for all types of events at all times and must be physically able to work outdoors, standing for long periods of time.
