We have an exciting opportunity to join UW’s Central Shared Environment (CSE). The CSE is an institutional hub providing financial administrative services to Shared Services Units (SSU) across the University. The Shared Environment Specialist (Shared Services Specialist NE S SEIU 925 Non Supv) will operate in the Central Shared Environment (CSE) and provide backup coverage for Shared Services colleagues, performing work on behalf of multiple units including Finance, Planning & Budgeting (FPB), External Affairs, Continuum College, and Compliance Risk Services. This work must align with:
•Generally Accepted Accounting Principles (GAAP)
•Washington State Office of Financial Management (OFM) regulations
•Applicable University, State, and Federal policies
The Specialist will support CSE units in one or more specialized areas such as HR, payroll, procurement, and bookkeeping, following policies and procedures established by Shared Services leadership.
Shared Services Unit Definition
Shared Services Unit (SSU) is a work group centrally located in the dean, vice president, or chancellor’s office for a major organization which uses Workday to provide a mix of financial, budgetary and human capital management services to multiple units within the organization.
BASIC FUNCTION
Under general direction and in collaboration with client unit staff this role will apply technical and policy expertise to complete complex transactions in support of constituent business needs. These may include:
•Assisting faculty, staff, students, and suppliers with self-service applications such as travel reimbursements
•Utilize Workday/Access/Excel for advising supplier trends
•Performing salary and other expense transfers
•Monitoring Faculty Effort Certifications and supporting grant close-out and month-end reporting
•Use Workday for hiring, compensation adjustments, academic personnel actions, and other HR and payroll tasks
•Facilitating miscellaneous payments to University visitors
•Collaborate with shared services colleagues in the development and application of tools, workflows, and policies that support customer service, efficiency, and compliance goals
TYPICAL WORK
Function as a subject matter expert in one or more fiscal areas for multiple client units, balancing transactional and analytical work. Responsible for supporting departments across campus.
•Develop procedures for implementation, execution, control, and audit of fiscal operations
•Advise client units on fiscal, procurement, travel, accounts receivable, HR/payroll, grant pre-award and closeout, and other relevant policies
•Complete financial and administrative transactions using enterprise systems in accounting, travel, procurement, and payroll
•Analyze fiscal data and report trends to client units and central offices
•Research and interpret University, state, and federal processes and policies
•Analyze performance metrics and customer feedback to identify service improvements
•Share knowledge to cultivate a collaborative and inclusive team culture
•Engage in regular training to maintain and build subject matter expertise
•Perform related duties as required
MINIMUM QUALIFICATIONS
Bachelor’s Degree and two years of work experience in fiscal, accounting, or payroll experience.
Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
Specific Position Requirements
•Experience in Financial Operations & Accounting
•Understanding of GAAP, internal controls, journal entries, reconciliations, and public-sector accounting
•Familiarity with budget structures, financial reporting tools, and expense transfers
•Experience using Workday or similar ERP systems for finance, HR, and payroll transactions
•Proficiency with procurement and travel systems
•Proficiency in Excel functions necessary for audit and analysis
•Experience with ticketing system (ex: ServiceNow) to manage transactions
•Skilled in processing job changes, compensation adjustments, and time/leave tracking
•High attention to detail and the ability to learn and apply transaction verification policies across a range of financial activities

•Familiarity with academic personnel processes and payroll compliance
•Understanding of grant closeout, effort certification (FEC), and grant-related financial support
