POSITION SUMMARY
The Executive Assistant to CEO provides high-level, confidential, and professional administrative support to the CEO. Duties may be clerical, administrative and project-based including arranging meetings, handling information requests, preparing reports and correspondence, organizing Wheeler-wide staff recognition events, and liaising with board members. This position understands in varying degrees the requirements of the President/CEO, and above all, projects a professional organizational image through in-person interaction. In providing this support the position exercises a high degree of communication excellence, initiative, discretion, and confidentiality. The Executive Assistant Collaborates with all Wheeler staff, in addition to external entities, to provide high-level support to the CEO.
EDUCATION AND EXPERIENCE/QUALIFICATIONS
High School diploma plus 4 years of related experience or an associate’s degree plus 2 years of related executive assistant experience is required.
Experience with Microsoft Office and other relevant applications. Manages competing demands, able to deal with frequent change, and solve problems/issues as they arise. Ability to interface well with all departments and represents the President / CEO in a highly professional manner. Demonstrates dependability, follows instructions, responds to management direction and solicits feedback to improve performance. Possesses effective organizational and interpersonal skills and written and verbal communication skills.
The Executive Assistant will also lead the employee appreciation committee, known as the Sunshine Club

ESSENTIAL DUTIES AND RESPONSIBILITIES
Creates and prepares confidential correspondences, reports, agendas, meeting minutes, and other complex documents for the President / CEO and Executive Leadership Team.
Serves as liaison with Board of Trustees, including scheduling board and committee meetings, handling logistics of board meetings, sending materials for review prior to the meetings, taking and distributing minutes, and fielding general queries from board members.
Coordinates and supports the CEO’s calendar/ scheduling and ongoing work with the Executive Team, including administrative support as required.
Assists with planning major organizational events, such as annual Board Retreat, Staff Recognition Breakfast, Staff Outing, etc.
Supports the CEO by proactively responding to inquiries from Board Members, stakeholders, staff, and others with a high level of discretion, diplomacy, and judgement, ensuring exceptional customer experience.
Performs general clerical duties including but not limited to processing contracts, agreements, and letters for CEO review and signature and send to respective entity on behalf of the organization.
Maintains confidentiality of all Board of Trustees, leadership and other related Wheeler matters.
Works with the Quality Department to maintain and disseminate Wheeler policies as appropriate following Board approval.
Prepares documents required for State licensing visits, HRSA visits and other accreditation reviews.
Maintains all Corporate records related to the Board of Trustees and legally required to be preserved.
Performs other related duties as assigned.
Continues to develop knowledge and understanding about the history, traditions, values, family systems, and artistic expression of groups served as well as uses appropriate methodological approaches, skills, and techniques that reflect an understanding of culture.
