Job Summary and Qualifications
Position Responsibilities (including but not limited to):
+ Performs administrative support functions for the Chief Quality and Patient Safety Officer, Director of Quality and staff reporting to these individuals (i.e. calendar management/scheduling, coordinate travel arrangements, maintains expense reports, meeting coordination, report generation, correspondence, etc.)
+ Coordinates activities within the department including incoming/outgoing correspondence, faxes, scanning needs, ordering office supplies, any dietary items, maintaining filing systems, binder management, equipment repairs and other activities as requested (including putting items in appropriate storage areas).
+ Coordinates committees and/or meetings including scheduling, creating agendas, taking & transcribing minutes, providing reminder calls, etc. and other duties necessary for successful meetings as requested.
+ Serves as ambassador of QRM by providing high level of customer service (i.e. polite & professional telephone etiquette, prompt response to physician needs & requests, prompt & courteous response to all customer needs and/or concerns, etc.)
+ Serves as front line office receptionist (screening and directing incoming calls and visitors, providing information and/or forwarding calls to appropriate person, taking and forwarding messages as appropriate) and provides follow through.
+ Maintains monthly departmental operating reports and completes variance form needed with submission to ALO under the direction of the CQPSO and/or Quality Director.
+ Compiles data from reports and inputs into a spreadsheet format for presentation to committees utilizing Excel, Word and or Power Point as appropriate. Provide data entry for internal and external databases once appropriate training is complete.
+ Manages and coordinates outgoing/incoming mail for the departments reporting to QRM including retrieving, opening and prioritizing and distributing mail appropriately.
+ Coordinates special projects as assigned (social functions, vendor lunches, holiday parties, travel planning).
+ Assists in all internal/external Survey events including preparation, being readily available and have active participation during survey and assist with action plan/report/response creation/completion.
+ Maintains schedule for QRM Conference Room (including straightening/cleaning after meetings if necessary)
+ Process check requests/invoices (i.e. creation/processing, OIG/GSA verification, forwarding to Accounting) as required, assists in copying, faxing and filing documents and completing electronic OPPE forms.
+ Coordinate/Completes payroll (KRONOS) for payroll as directed.
+ Maintains Medical Staff peer review files for reappointment process.
+ Receive patient complaints and process as appropriate (de-escalate, provide calm, courteous assistance, forward caller to appropriate Director/Manager to investigate complaint; follow-up with email to departments involved (Directors with copy to Quality Director and ALO). Type complaint/compliment correspondence as directed by CQPSO/Quality Director.
+ Serve as Notary Public
+ Coordinate meetings, interviews and depositions at the request of Legal entities.
Qualifications:
+ High School Diploma/GED
+ Medical terminology
+ PC/software skills
+ 1-3 years secretarial experience
