We are seeking a **Environmental Project Assistant (EIR Project Assistant 2)** to support our project management team in planning, executing, and finalizing projects as well as managing select ENV East regional proposals and to join our West Springfield, MA team! Come join us! This role reports to a New England Area Manager and will work closely with the Environmental Business Development Lead.
Job responsibilities include but are not limited to:
+ Project Management Assistant: Support environmental projects at the direction of Project Managers. Billable tasks include scheduling, report preparation and invoicing. Assist with processing of outgoing documents including proposal setup/QC, report formatting/QC. This role has a 35% utilization target.
+ Proposal Management: Manage the preparation and organization of environmental proposal content, ensuring alignment with RFP requirements and company guidelines. Serve as primary point of contact with external teaming partners, as needed. Ensure all content reflects the company's capabilities, experience, and achievements, while adhering to branding guidelines. Track proposal timelines and deadlines, coordinating with internal teams to ensure timely submissions.
+ Content Development: Format, proofread, and edit technical and marketing content, including resumes, project descriptions, and narratives. Maintain and refine a library of reusable content, such as resumes, project sheets, and boilerplate responses.
+ Template Management: Use and maintain technical report and proposal templates and tools to ensure consistency and efficiency.
+ Database Management: Update and manage databases of billable projects. Also update and manage CRM databases.
Minimum requirements:
+ Bachelor’s degree in Marketing, Communications, Business, or a related field.
+ 2-4 years of experience in proposal management, preferably in the AEC industry.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
+ Strong written and verbal communication skills with exceptional attention to detail.
+ Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Other miscellaneous qualities:
(Preferred)
+ Experience with CRM or proposal management software (e.g., Zoho and Deltek Vantagepoint)
+ Experience with ERP accounting systems
+ Experience with Adobe Creative Suite (InDesign) a plus.
+ Familiarity with AEC terminology, processes, and standards
+ Creative design skills
+ Persuasive writing skills
