Position Overview
We are seeking a highly organized, diligent, and compassionate Clinical Practice Assistant to provide both clerical and clinical support in our Cambridge OB/GYN clinic, as well as other sites as needed. This position plays a key role in ensuring the smooth operation of the clinic, facilitating effective and safe patient care through a variety of clerical and clinical duties.
Key Responsibilities
_Clerical Duties:_
• Greet and welcome patients with professionalism and courtesy.
• Answer phones promptly and courteously, taking accurate and detailed messages for the OB/GYN department.
• Schedule patient appointments in the EPIC electronic medical record system, adhering to scheduling guidelines.
• Confirm, reschedule, and manage patient appointments as needed.
• Verify patient eligibility using the real-time eligibility system.
• Complete patient registrations according to established policies for clean claim submission.
• Collect, process, and reconcile copays for deposit.
• Ensure efficient checkout process for patients, adhering to established workflows.
• Scan documents into appropriate patient medical records.
• Coordinate specialty appointments and manage urgent referrals for processing.
_Clinical Duties:_
• Manage the flow of patients through the clinic, ensuring efficient chart preparation and provider huddles to optimize patient visits.
• Room patients, assist providers with patient prep, and assist during procedures.
• Accurately document patient information in the electronic health record.
• Take routine vital signs and perform point-of-care testing (labs) according to established protocols.
• Follow-up with patients who miss appointments or require lab results.
• Maintain clean and organized exam rooms, ensuring appropriate stocking of supplies.
• Prepare instruments and lab specimens for transport.
Qualifications
• Education: High school diploma or equivalent. Graduation from an accredited medical assistant program is required.
• Experience: Previous experience in OB/GYN or similar clinical settings is preferred.
• Certifications: Current AHA or ARC Basic Life Support (BLS) for Providers certification.
• Skills: Strong communication skills, both verbal and written, in English. Knowledge of a second language is strongly preferred. Proficient in using electronic health records (EPIC preferred). Ability to handle urgent situations efficiently and maintain a calm and compassionate demeanor.
