Description
Our client is looking for a highly detail-oriented Billing Specialist to manage complex, contract driven billing processes in a high-volume environment. The role requires a solid understanding of invoicing fundamentals, job cost structures and rate application. Familiarity with AS400 and prior experience billing across multiple locations with unique billing nuances is highly desirable.
Responsibilities:
+ Accurately process and issue weekly invoices based on contractual rates and job cost data.
+ Review and audit billing documentation from multiple internal sources to ensure completeness and compliance with service agreements.
+ Validate billing rates, units and amounts against supporting documentation, reports and financial systems.
+ Maintain thorough and up-to-date contract references, including notes, billing examples and rate confirmations.
+ Research discrepancies and adjust invoices as needed in collaboration with internal teams.
+ Coordinate with accounting and operations to support accurate revenue reporting and month-end close procedures.
+ Provide input and support for process improvements and billing documentation.
+ Organize records by terminal and job number in a centralized document repository.
+ Limited use of Excel for basic data entry and cross-referencing.
Requirements
Preferred Skills & Experience:
+ Ability to work onsite in South Seattle. This role that offers hybrid flexibility (3 days onsite, 2 days remote).
+ 2-4 years of recent billing or invoicing experience in a deadline-driven, high-volume environment.
+ Strong attention to detail, with a keen ability to spot and resolve discrepancies.
+ Ability to manage multiple workflows across different billing locations each with its own idiosyncrasies.
+ Experience with AS400 or similar ERP / accounting systems is a plus.
+ Knowledge of contract billing structures (e.g., rate-based invoicing, retroactive adjustments).
+ Solid math, analytical and organizational skills.
+ Comfortable working independently, with limited supervision while also contributing to team processes.
+ Effective verbal and written communication skills.
Nice to Have:
+ Exposure to unionized labor contracts, tariffs, or logistics related billing is beneficial.
+ Prior experience in industries with job based billing environments.
+ Familiarity with shared documentation systems (e.g., Document Locator or similar).
