    Description

    Reporting to the University Registrar, the Registrar Functional Analyst serves as a key student systems liaison and subject matter expert related to Registrar systems. The Functional Analyst is responsible for supporting the use of Workday Student and works closely with the Registrar and Workday Business Analyst to make sure the University is taking full advantage of all the features and functionality of the Workday system and other products related to registrar responsibilities that interface with Workday including but not limited to Parchment (transcript/diploma service), Watermark ( SmartCatalog ), CollegeNet (25Live), Perceptive Content (ImageNow) and the National Student Clearinghouse (NSC). The Functional Analyst develops and applies a comprehensive knowledge of existing system functionality, collaboratively guides and prioritizes re-envisioning of existing processes across registrar systems, and contributes to the office’s overall technical strategic plan.

    Key Responsibilities:

    + Works as part of the Workday support team and is responsible for supporting the Student Records functional area Workday modules (Records, Advising, Curriculum, Core, Foundations). Maintains system configuration including but not limited to, academic unit policies, date controls, request frameworks, business processes (BP’s), engagement plans, mass functions, academic requirements, and student eligibility rules.

    + Manages Workday Student Records inquiry tickets, resolving incidents and performing system configuration and maintenance based on user requirements and evolving business needs. Analyzes, troubleshoots, tests and implements configuration to meet best practice using implementation tenants prior to making changes in production.

    + Reviews business procedures and workflows to ensure system features are being fully utilized and identifies areas in the systems to implement process improvements and efficiency.

    + Works with Information Technology Services Department to maintain system interfaces and necessary data integrations with registrar applications and systems (including but not limited to integrations and error resolutions with SmartCatalog , Canvas, 25Live, Follett, the NSC).

    + Provides user training and ongoing support for registrar-related systems, for both efficient use of existing functionality and emerging functionality changes. Documents processes and workflows and creates accessible quick guides for Suffolk community constituents.

    + Keeps current with knowledge of the Workday Student roadmap and upcoming Parchment, 25Live, Watermark, Perceptive Content, and NSC product releases – reviewing release notes, assessing new features and understanding and communicating the impacts to business processes and changes in functionality to business owners.

    + Ability to analyze data to find insights, think through problems & recommend solutions.

    + Provides operational data reporting and data analysis. Closely collaborates with the central reporting team.

    + Responsible for various National Student Clearinghouse enrollment-related compliance items including degree and enrollment verifications.

    + Assumes additional responsibilities as required.

    Requirements/Qualif ications:

    + Bachelor’s degree (Masters preferred) and significant experience in registrar operations and/or student records.

    + Expertise with Student Information System databases (experience in Workday preferred)

    + Advanced skills in Microsoft Office suite (including Word, Excel, PowerPoint, Adobe, Outlook)

    + Excellent written and oral communication

    + Strong detail orientation, organizational skills to thrive in dynamic, multi-tasking environment

    + Excellent analytic, and problem-solving skills – ability to think through issues, and provide alternate solutions, which are well-thought out

    + Highly collaborative; willing to share knowledge and expertise

    + Ability to work independently, think creatively, act with strategic agility, deal with ambiguity and manage innovation

    + Commitment to prioritizing inclusivity, diversity and equity in executing key responsibilities

    + Ability to exercise discretion with confidential information, support legal compliance with a strong understanding of FERPA (Family Educational Rights and Privacy Act), academic process, and data security best practices
