    Overview

     

    The Retail Operations Assistant supports the Haven Attic Resale stores by answering phones, providing information to donors and customer, coordinates donation pickup requests with coordination of the Lead Warehouse Associate and Inventory Coordinator/Drivers, collaborates with the Haven Attic staff on daily needs, orders supplies, and provides support to the Operations Manager and Director as needed. Additionally responsible for assisting the Director of Retail Operations by supporting volunteer recruitment, retention and record keeping. Required to organize meetings and attend community events as needed.

    Responsibilities

    • Answer phones and provide courteous and informative responses to callers, including returning any missed calls in a timely manner.

    • Work collaboratively with the Attic location Managers, the Lead Warehouse Associates, and Inventory Coordinators/Drivers to schedule donation pickups and deliveries.

    • Maintain the schedule for all large donation pickups, deliveries, or special events involving the transportation of donated items.

    • Coordinate with the Manager(s) of Retail Operations in the designated Attic locations to ensure scheduled days are appropriately recorded and communicated to the main Attic location.

    • Track the status of donation pickups/deliveries and liaise with the Lead Warehouse Associate(s) and Inventory Coordinator(s)/Driver(s) or other designated Attic team members to resolve any issues promptly.

    • Maintain transportation reports and follow up on any issues regarding donation pickups with the Director of Retail Operations.

    • Monitor and arrange a schedule for vehicles cycle maintenance in accordance with company guidelines.

    • Receive volunteer applications and inquiries and respond appropriately. Screen volunteers with the assistance of the Director of Retail Operations.

    • Coordinate new volunteer orientations with Managers in all locations, ensuring they have proper documentation. Follow up with Managers to ensure volunteer rosters are updated regularly.

    • Assist with the implementation and dissemination of new policies and procedures to improve operations.

    • Keep volunteer rosters current and reviewed regularly. Record volunteer hours and participation.

    • Schedule, coordinate, and participate in volunteer events and luncheons with the Director of Retail Operations and Managers of Retail Operations.

    • Travel to each store as needed for training, information gathering, building relationships, and assist as needed in an administrative capacity.

    • Participate in community and volunteer events as needed – this may require weekend, after hours, or extended hours in various locations.

    • Ancillary duties include occasional customer service coverage, merchandising assistance, and inventory supply to ensure appropriate coverage as approved by the Director of Retail Operations.

    Qualifications

    • High School Diploma or GED equivalent required.

    • 2 years work experience in a responsible administrative role required.

    • Experience in customer service, thrift/consignment store, or other retail background preferred

    • Strong organizational skills and attention to detail.

    • Excellent communication and interpersonal skills.

    • Ability to work independently and as part of a team.

    • Proficient in Microsoft Office and other relevant software programs.

    • Ability to multi-task and handle multiple projects simultaneously.

    • Strong time management skills and ability to prioritize tasks effectively.

    • Ability to work in a fast-paced environment and adapt to change quickly.

    • Strong business acumen.
