    UPMC Mercy’s Operating Room is looking for a Lead Scheduling Secretary to join our dynamic surgical services team! If you're an organized multitasker who thrives in a fast-paced, high-impact environment — and you're ready to take on a leadership role — this opportunity is for you.

    Schedule:

    + Monday–Friday

    + Daylight hours only — no nights, weekends, or holidays!

    What You’ll Do:

    As the Lead Scheduling Secretary, you’re the heartbeat of the OR schedule — ensuring everything runs efficiently behind the scenes so our surgical teams can focus on what they do best: saving lives.

     

    + Accurately schedule inpatient and outpatient surgical procedures using established guidelines

    + Verify surgeon credentials, resolve scheduling conflicts, and troubleshoot any booking issues

    + Serve as the go-to resource for surgical scheduling secretaries, supporting their work and answering questions

    + Interview, train, and mentor new team members and assist with performance evaluations

    + Lead daily communication with surgeons, offices, and the Service Center to keep schedules accurate and up to date

    + Take charge in the supervisor’s absence, including finalizing the OR schedule

    + Create monthly staff schedules for department secretaries

    + Collect and organize procedural documentation and compile statistics as needed

    + Proactively identify issues, propose solutions, and work collaboratively with the surgical services team

    + Handle conflict resolution with professionalism, leadership, and respect

    + Completion of a business or secretarial school or 3 years of experience in scheduling in a health care setting.

    + Excellent written and verbal communication skills are required. Accurate typist and ability to use transcription machine. Experience in guest relations is preferred. Experience with computer-based systems preferred.

    + Individual must function well under stressful conditions. Excellent organizational skills, tact, patience and understanding. Knowledge of medical terminology preferred.
