The Center for an Informed Public has an outstanding opportunity for a Center for Informed Public (CIP) Program Operations Analyst.
The Program Operations Analyst at the University of Washington's Center for an Informed Public (CIP) plays a critical role in developing and maintaining the infrastructure that supports the center's capacity-building efforts, including programs such as Community Fellows and MisinfoDay, with a focus on strategic planning, program evaluation, documentation, and budgeting. Reporting to the CIP's Director of Strategy & Operations, this position designs systems and processes for tracking progress toward program outcomes, manages budgets and resources, creates program outreach materials, and ensures program continuity and quality. The position requires a detail-oriented professional who can build the operational backbone for the center's public-facing programs, analyze program effectiveness, and develop standardized documentation frameworks. This role works to create scalable systems that support the CIP's mission of resisting strategic misinformation, promoting an informed society, and strengthening democratic discourse.
Budget & Resource Management (30%)
+ Support annual strategic planning for CIP programs, supporting long-term sustainability and alignment with the CIP’s mission.
+ Inform the creation of and manage program-specific budgets under the supervision of the Director of Strategy & Operations, tracking expenses and maintaining financial documentation.
+ Maintain resource inventories and coordinate equipment and supply purchases.
+ Support the development of funding proposals by drafting narratives, designing budgets, and crafting evaluation plans that outline grant deliverables.
+ Develop systems for efficient resource management across multiple programs, including resource allocation based on historical data and projected needs.
+ Ensure financial compliance with university policies and procedures. **Program Support & Continuity (20%)**
+ Design and manage the application processes for programs and fellowships, outlining criteria for candidate selection, supporting candidates as they submit applications, and coordinating committee review of applications.
+ Develop onboarding materials and host onboarding events as needed for new program staff and volunteers to help them build familiarity with CIP capacity-building efforts.
+ Assist with contingency planning for program activities, including scenario planning for potential program disruptions and development of backup plans.
+ Define and implement quality assurance processes that ensure programs align with CIP goals, values, and standards.
+ Coordinate with other iSchool departments as necessary to ensure CIP program success. **Monitoring & Evaluation (20%)**
+ Design and implement comprehensive evaluation systems including pre/post surveys and assessment tools.
+ Collaborate with the Director of Strategy & Operations to develop and maintain monitoring dashboards that track performance data for all CIP capacity-building efforts.
+ Analyze program outputs and outcomes, identifying trends and patterns in program data to inform strategic improvements.
+ Synthesize evaluation findings for annual reports and communications to stakeholders and funders.
+ Lead post-program debriefs and document lessons learned for continuous improvement. **Program Infrastructure (15%)**
+ Design and develop standardized documentation frameworks and templates to support consistent program delivery.
+ Create and maintain program resource libraries and knowledge management systems.
+ Create scalable processes that enable program growth and replication, and document standard operating procedures.
+ Design systems for efficient information sharing across CIP teams and programs. **Program Communications (10%)**
+ Create program documentation for various audiences (internal, external, funders), including website content.
+ Collaborate with the Assistant Director of Strategic Communications and Education & Engagement Manager to inform the CIP’s broader communication strategy & prepare marketing materials to promote programs within the University and to external partners.
+ Contribute to the development of content for digital communication channels, including social media and blog posts. **Other Duties (5%)**
+ Attend and participate in team, committee, workgroup, iSchool, and/or University meetings to contribute to effective communication and collaboration.
+ Participate in and support team, iSchool, and University events, initiatives, and activities as needed.
+ Engage in ongoing professional development opportunities to remain current on industry standards, emerging trends, and technological advancements. **Minimum Qualifications:**
+ Bachelor's Degree and 2-years experience in business administration, information management, education, library science, or similar. (Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.) **Desired Experience:**
+ Prior work experience in higher education.
+ Experience with project management methodologies and tools.
+ Experience with data visualization and dashboard development.
+ Knowledge of program evaluation methodologies.
+ Experience with budget management in a university setting. **Working Conditions:**
+ This is a hybrid position with an expectation to work on-site at the UW Seattle campus at least two days per week; the remaining days may be worked remotely, with supervisor approval.
+ Occasional local travel within the Seattle area for meetings, events, and university business
+ Occasional schedule flexibility is required to support evening or weekend school/university events, typically four to five times per year. Advance notice will be provided, when possible, for any required schedule adjustments related to special events or programming needs.
+ Ability to lift and move up to 30 pounds occasionally for event setup and materials transport; ability to stand and walk for extended periods during events; occasional bending, reaching, and kneeling for event preparation **Application Process:** The application process may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
