Hours Per Day: 8.00 (7:30 – 4:00) Work Year: 12 Months Per Year Minimum Pay Rate: $19.00/HourClassification: CompetititvePosition Overview:The Office Clerk II in the Athletics Office plays a vital role in the efficient operation of the districts athletic department. This position provides administrative support to the Director of Athletics, Health and Physical Education, coaches, student-athletes, and parents while ensuring compliance with school district policies and athletic association regulations. The ideal candidate is organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.Key Responsibilities:
+ Performs clerical duties such as data entry, filing, photocopying, and scanning documents.
+ Maintains and creates accurate records and databases related to student transcripts, grading, report cards and other pertinent information.
+ Manages incoming and outgoing communication, including phone calls, emails, and mail.
+ Provides excellent customer service to students, parents, staff, and visitors, addressing inquiries and concerns in a timely and professional manner.
+ Coordinates scheduling and appointments for district personnel, meetings, and events.
+ Processes travel arrangements and registrations for conferences, training and state competitions for all department staff and athletes.
+ Completes and submits all purchase orders/requisitions.
+ Manages submission and verifies accuracy of all payrolls for official vouchers, team aides, lifeguards, event and fitness center supervisors.
+ Maintains and updates cumulative file contents.
+ Adheres to established procedures and protocols to ensure compliance with district policies and regulations.
+ Assists in completion and submission of Facility Usage Forms for department, coaches and outside sports-related groups.
+ Notifies Communication Department of website updates seasonally.
+ Performs other related tasks as assigned by the Director of Athletics, Health and Physical Education.
+ Schedules and communicates all transportation for athletic events. Is the primary liaison between bus scheduler and department.
+ Communicates daily athlete attendance report and behavioral concern to appropriate staff.
+ Maintains rosters on rSchool; accurately flags and regularly updates student athletes every season in Infinite Campus.
+ Orders all awards, refreshments, etc. for all sports and special events/ceremonies including monthly Captain’s Club meetings.
+ Prepares, schedules and maintains Family ID registrations and correspondence while assisting nursing staff seasonally.
+ Assists in the certification process of new coaches and maintains coaching certification records in correspondence with NYSED, BOCES and Section V requirements.

It is not meant to be all inclusive of every task or responsibility.Qualifications: Civil Service: Those individuals classified as an Office Clerk II OR reachable on the current Civil Service Office Clerk II list OR otherwise qualified by the rules of the Monroe County Civil Service Commission will be considered.
+ Graduation from high school or possession of an equivalency diploma, plus EITHER:
A. Two (2) years paid full-time or its’ part-time or volunteer* equivalent office clerical or secretarial experience; OR,?B. Graduation from a regionally accredited or New York State registered college or university with an Associate's degree or successful completion of sixty (60) college semester credit hours; OR,C. An equivalent combination of education and experience as defined by the limits of (A) and (B) above.
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.
+ Knowledge of Infinite Campus, Adhoc Filters, and mail merge desired.
+ Strong problem-solving skills.
+ Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
+ Ability to handle a fast-paced, high volume office with frequent interruptions.
+ Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
+ Detail-oriented with a high level of accuracy in data entry and record-keeping.
+ A self-starter who can multi-task and has the ability to work independently with minimal supervision as well as collaboratively within a team environment.
+ Flexibility to adapt to changing priorities and deadlines in a fast-paced work environment.
