    The Department of Physical Therapy at Russell Sage College invites applications for a part-time Administrative Assistant to support the clerical and operational needs of the Doctor of Physical Therapy (DPT) Program. This position plays a critical role in assisting with all administrative functions of the department, and specifically across three primary areas: admissions, clinical education, and CAPTE accreditation. The ideal candidate is a proactive, organized, and detail-oriented professional who can effectively manage multiple tasks in a dynamic academic environment.

    Key Responsibilities

    Admissions Team Support

     

    + Supporting the Admissions Team with clerical tasks and logistical support for

    + Maintain applicant records in compliance with institutional and FERPA guidelines.

     

    Clinical Education Administrative Support

     

    + Provide administrative support to the clinical education team

    + Maintain and update site information within the Exxat platform

    + Assist in communication with clinical sites

     

    CAPTE Accreditation and Program Documentation

     

    + Assist with maintaining and organizing documentation for program accreditation and compliance.

    + Assist the Program Director in managing timelines and tasks associated with accreditation.

     

    General Administrative Duties

     

    + Assist with the organization and maintenance of office-related tasks

    + All duties assigned by the DPT Office Coordinator, the AA's direct supervisor

    Work Environment & Schedule

    This is a part-time, on-campus position averaging 18.75 hours per week. Some schedule flexibility is available; however, regular availability during business hours is expected. Occasional evening or weekend hours may be required for department events and/or deadlines. Weekly hours are broken out by tasks; these will fluctuate each week, prioritized by timeline completion requirements.

     

    The estimated wage is $16.74 for 18.75 hours per week for 52 weeks.

    Job Requirements:

    Minimum Qualifications

    + Associate's degree required; Bachelor's degree preferred.

    + Some administrative experience in higher education or a healthcare-related setting.

    + Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfortable working with data and shared file systems.

    + Excellent organizational and time management skills.

    + Strong interpersonal and written communication abilities.

    + Ability to work independently while managing multiple priorities.

    + Ability to handle confidential information with professionalism and discretion.

    Preferred Qualifications

    + Experience in health professions education or clinical education support.

    + Familiarity with CAPTE accreditation processes and standards.

    + Working knowledge of PTCAS, EXXAT, or similar platforms.
