    Job Description

    Job Summary:

    The person in this position will be responsible for entering and maintaining employee payroll deductions and business expenses in the State of Minnesota’s payroll system. The person in this position will review the business expense submissions for accuracy, ensuring that reimbursement requests are in compliance with State regulations. The person in this position will enter the deduction into the payroll system and ensure that the deductions are posted accurately. The person in this position will routinely analyze employees’ employment status and FTE to ensure that deductions have been entered accurately and make corrections as needed. The person in this position will also be responsible for parking deductions and expense transfers. All employees of Saint Paul College are responsible for promoting a culture that supports diversity and inclusion in all forms as well as providing excellent customer service continuously to all internal and external contacts.

    Job Duties:

    + Manage the SPC employee business expense report process.

    + Manage the SPC employee purchase card and Spend Authorization process.

    + Work with Grant Managers on running reporting and doing expenditure corrections to entries and payroll.

    + Manage the SPC employee parking and Friends of Saint Paul College Foundation payroll deduction process.

    + Manage the asset processing and annual inventory process.

    + Process Expense Transfer forms in Workday.

    + Perform other duties as assigned to ensure the smooth functioning of the Business Office and maintain the reputation of the organization as a viable business partner.

    Salary Range:

    The salary range for this position is $21.90 - $29.65 hourly.

    Minimum Qualifications:

    + Math skills sufficient to add, subtract, divide, multiply, calculate discounts/sales tax percentages and work with decimals.

    + Database management skills sufficient to enter and maintain systems to ensure accuracy of data and conform with policy by monitoring, collecting and analyzing data and adjusting for potential problems.

    + Customer service skills sufficient to answer questions and make inquiries both in person, in writing and on the phone in a professional and courteous manner.

    + Proficient in the use of database systems and using spreadsheet applications, such as Microsoft Office products including Outlook, Word, Excel or similar systems.

    + Accounting skills sufficient to identify and resolve discrepancies in accounting records.

    + Ability to establish and maintain effective working relationships with vendors and employees.

    Preferred Qualifications:

    + Knowledge and ability to use computers and software in a Windows environment.

    + Knowledge of College and Minnesota State board policies and procedures; as well as State of MN and Federal regulations.

    + Knowledge of College, SEMA4, SCUPPS and Minnesota State software, record storage software such as Workday, Minnesota Marketplace, MMB and Minnesota State websites.

    + A working knowledge of the principle and procedures of payroll and expense account.

    + Ability to recommend improvements to procedures and forms by applying knowledge of accounting procedures and policy.

    + Ability to work in a fast paced environment and meet challenging deadlines while still providing excellent customer service.

    + Writing and reading skills sufficient to comprehend a variety of materials; follow detailed instructions and to provide efficient and professional communications to vendors and employees.

    + Capability to take the initiative to become proficient in relevant software skills pertinent to the position.
