Position Information
We are seeking a Senior Administrative Coordinator responsible for overseeing the planning, development and implementation of educational, outreach and development programming, interaction with donors, faculty, staff and students, management of the office and direct support to the Director in the Institute for Equine Sciences.
Responsibilities:
+ With high autonomy and little oversight, this position will be responsible for the development and implementation of education and outreach programming throughout the state. This position will also have the responsibility of leading efforts for developing and organizing unique donor development events on campus and throughout the state and nation, again with a high level of autonomy and little oversight.
+ Provides special event planning and coordination support for events. Provides support for outreach and development efforts. Oversees coordination for multiple outreach efforts on campus and state-wide. Responsible for planning and executing special events through the Equine Initiative, both on and off campus. Examples of programs include Equine IQ Contest, Horse Skillathon Contest locally in San Antonio, Houston and Fort Worth, Texas.
+ Trains, assigns tasks, provides accountability/supervision and evaluates job progress of front desk employees, coordinates daily office operations and directly supervises student workers. Develops, evaluates and ensures adherence to office procedures, maintain office supplies and equipment. Evaluates and develops procedures and methods for process improvement, administrative changes, or new initiatives. Provides agendas and staffing assistance for meetings. Establishes and maintains program files. Attends regular staff meeting and share updates with team. Implements a correspondence system which includes regularly sending thank you and follow up notes to development, industry and campus contacts on behalf of the Equine Initiative staff. Establishes and maintains an interoffice system for keeping office supplies and promotional materials in stock.
+ Develops and maintains an online and social media presence, as well as public relations efforts through press releases or marketing pieces. Responds to requests for program information. Prepares program correspondence, materials, reports, and presentations. Maintains online program materials. Coordinates program communications through social media. Manages the Facebook, Twitter, webpage, and other social media accounts. These duties are performed by working with AgriLife Marketing and Communications including utilizing approved templates and following guidelines.
+ Responsible for providing high-level administrative support to Coordinator and Director of the Equine Initiative office by maintaining calendars, scheduling meetings, and managing communications including screening appointments and phone calls, written correspondence and client contact via telephone and in person. Contributes to and maintain a professional and customer service orientated office environment. Coordinates travel requests, arrangements and expense reports for Equine Initiative staff. Plans and coordinates logistical and administrative support for meetings, events, specialized activities, projects, and long-term initiatives. Researches, complies and applies information, making evaluative judgement on appropriate data to use. Composes, edits, and proofreads various documents and correspondence. Briefs Director on specific topics in preparation for meetings, presentations, etc. Coordinates work flow and promotes communication between functional areas and outside units. Provides guidance on preferred presentation of office communications and other materials. Assists in resolving complex, highly sensitive, and confidential administrative matters as well as responding to non-routine information requests. Assists in providing solutions to recurring or unusual administrative problems. Processes and prioritizes incoming mail; referring items for action or information to administrators/staff. Evaluates documents submitted for signature, ensuring completeness and accuracy, and returning documents for correction or additional information, if needed. Ensures that strict confidentiality is maintained on all matters. Responsible for maintaining detailed knowledge of purchasing and travel rules and procedures for AgriLife and coordinates travel requests, arrangements and expense reports for Equine Initiative staff.
+ Provides professional support in a complex environment to donors, visitors, complex clients, alumni, program and industry leaders.
+ Performs other duties as assigned.
Required Qualifications:
+ Bachelor's degree or equivalent combination of education and experience.
+ Six years of related experience.
+ Excellent oral and written and communication skills.
+ Excellent interpersonal skills.
+ Ability to multi-task and work cooperatively with others.
Other Requirements:
+ Requires travel and evening and weekend work.
