    Description

    Under general supervision, performs responsible clerical work related to the timekeeping, assignment and other personnel matters of district employees; prepares a variety of productivity and other reports related to the collection of solid waste, street maintenance and other activities; supervises clerical staff as necessary.

    Examples of Duties

    + Gathers information for, prepares, and types a daily job assignment sheet for hourly employees in the district.

    + Reviews employees’ daily work activity sheets and other records in order to gather, summarize, and type productivity data on waste collection or street maintenance for the district.

    + Maintains attendance records by using information from payroll records.

    + Tabulates and records hours worked, transfers to a timesheet to be signed by supervision, and forwards to the payroll records.

    + Compiles and prepares weekly sick leave, vacation, overtime, and other reports for the payroll office.

    + Answers questions and assists employees with problems regarding life insurance, health insurance deductions, vacation time available, sick leave, pay advances, and other personnel-related items.

    + Prepares vacation schedule forms and obtains commitments from hourly employees in seniority order.

    + Prepares vehicle accident, property damage and occupational injury report forms and consults with employee involved and/or others to obtain accurate and complete details.

    + Issues clinic authorization for treatment of occupationally-injured employees, notifies the Safety Unit, and records data on state-mandated log sheet.

    + Furnishes employee names, equipment used, hours worked etc. to the Accounting division for reimbursement by state for snow removal or street cleaning activities.

    + Maintains a file for each employee with copies of disciplinary actions, attendance information, accident reports, and other items related to an employee’s work activities.

    + Informs supervisor when medical verification should be requested .

    + Prepares letters, memos, reports, schedules etc. for various levels of supervision.

    + Receives citizen complaints via telephone calls regarding district activities and forwards information to appropriate foreman or supervisor for resolution.

    + Requisitions miscellaneous supplies for district staff.

    + Collects fees from private waste haulers who dump waste at City yards.

    + May perform other duties as assigned.

    Minimum Qualifications

    Qualifications (required):

    + High School graduation or G.E.D.

    + Two (2) years of experience performing responsible, non-routine clerical work .

    Qualifications (preferred):

    + Experience in connection with the City of Detroit sanitation, street maintenance or ground maintenance activities.

     

    Equivalent combinations of education and experience may be substituted to meet the education and experience requirements of this position

    RETIREMENT BENEFITS

    City Employees Retirement System

    As a regular City employee you automatically become a member of the General Retirement System. This entitles you to a retirement allowance after:

     

    • Completion of thirty (30) years of service;

     

    - At age sixty (60) if you have at least ten (10) years of service, or

     

    - At age sixty-five (65) with eight (8) years of service.

     

    • In the event of disability, other eligibility rules apply);

     

    - An early, actuarially reduced, retirement is offered after you have attained at least twenty-five (25) years of service;

     

    • Employees are vested after ten (10) years of service, regardless of age.
