    Job Description:

    Facilities Planning and Management at Iowa State University is seeking qualified candidates for the position of Clerk IV within the Service Center. This vital role serves as the primary point of contact for receiving and processing a variety of service inquiries and requests related to Facilities Planning and Management (FP&M) Services and Operations, supporting both on-campus and off-campus needs. The position requires a high level of attention to detail, effective communication, and the ability to manage and interpret complex data and policies. The ideal candidate will be dependable, with a strong attendance record, and will be an essential member of the Service Center team.

    Key Duties and Responsibilities:

    + Receive and process service requests and inquiries for FP&M Services and Operations.

    + Communicate with faculty, staff, students, and external clients regarding maintenance and facilities procedures.

    + Research and interpret relevant information, policies, and regulations to provide guidance and support.

    + Prepare, review, and analyze documents such as reports, applications, and records.

    + Maintain and operate the FAMIS facilities management software, requiring specialized subject matter knowledge.

    + Analyze data, generate reports, and troubleshoot software/database issues.

    + Collaborate with other FP&M staff to ensure service accuracy and customer satisfaction.

    + Contribute to the accuracy and maintenance of service-related data and documentation.

     

    About the Department:Facilities Planning & Management (FP&M) is an organization that is dedicated to the maintenance and enhancement of Iowa State University, one of the nation’s leading educational and agricultural institutes. But more importantly, FP&M is dedicated to their employees and enhancing the lives of each team member through opportunities both professionally and personally. FP&M is one of the largest departments on campus and currently employs over 450 full-time employees and students combined.

    Characteristic Duties and Responsibilities

    • Researches information, prepares, reviews and analyzes documents, such as reports, applications, records etc., applicable to a specialized subject area requiring independent informational search and a knowledge of the policies and procedures of both the assigned and related work areas.• Creates and maintains a complex database that requires specialized subject matter knowledge.• Analyzes the data to maintain the database and generate reports.• Troubleshoots database problems for staff.• Advises staff, faculty, and others requiring interpretation of policies and regulations of specific projects or programs in assigned work area.• Coordinates intra unit and interunit operations and procedures and participates in regular staff meetings to discuss and assist in developing operational policies and procedures.• Composes correspondence requiring judgment in the application of policies and procedures in both the assigned and related work areas.

    Knowledge, Skills, and Abilities

    • Knowledge of institutional and unit policies, processes, and forms.• Knowledge of format and clerical procedures to arrange a variety of material from different sources in a coherent and logical manner.• Knowledge of grammar, spelling, punctuation, and capitalization.• Skill in utilizing computer software packages and online systems to develop unit-specific applications.• Skill in operating office equipment.• Ability to communicate effectively with staff, students, and the public.• Ability to make decisions requiring interpretation and judgment.• Ability to follow oral and written instructions and interpret institutional and other policies accurately.

     

    Candidates must be legally authorized to work in the U.S. on an ongoing basis without sponsorship. Immigration sponsorship is not available for this position.
