Position Overview:
We are seeking a highly organized and experienced Controller (or Accounting Manager) to lead our accounting and financial operations. This role is essential to maintaining financial accuracy, supporting strategic planning, and ensuring compliance across all financial activities. The ideal candidate will be detail-oriented, proactive, and comfortable working in a dynamic, creative business environment.
Key Responsibilities:
Accounts Payable & Receivable
+ Manage invoicing, payment processing, and customer communications.
+ Oversee vendor relationships, subscriptions, and cash flow.
+ Process payments via online platforms and paper checks; record auto-pays and ACH transactions.
Banking & Reconciliation
+ Perform regular bank and credit card reconciliations.
+ Record deposits and payroll entries in QuickBooks.
+ Manage recurring transfers and auto-pay setups.
Financial Reporting & Compliance
+ Prepare and submit quarterly MBT reports.
+ Generate daily financial reports and spreadsheets for leadership.
+ Support credit applications and banking relationships.
+ Ensure compliance with tax laws and regulatory requirements.
+ Handle tax payments, year-end financials, and reporting.
Budgeting & Strategic Planning
+ Assist with monthly budget reporting and bonus calculations.
+ Contribute to annual budget creation and forecasting.
+ Collaborate with external CPA and CFO for audits and strategic initiatives.
General Ledger & Journal Entries
+ Prepare and post journal entries to maintain accurate records.
+ Reconcile balance sheet accounts and track bad debt.
Payroll & HR Integration
+ Import and reconcile weekly payroll data from Paylocity into QuickBooks.
+ Record payroll transactions and ensure reporting accuracy.
System & Process Management
+ Set up services and classes in QuickBooks for accurate tracking.
+ Renew licenses and subscriptions as needed.
+ Maintain internal controls and process documentation.
Team Collaboration
+ Work closely with the billing clerk and other internal stakeholders.
+ Support cross-functional teams to meet business needs.
Qualifications:
+ Proven experience with QuickBooks and Paylocity
+ Strong understanding of GAAP, financial reporting, and reconciliation
+ Proficiency in Google Workspace and Microsoft 365
+ Excellent written communication and organizational skills
+ Ability to manage multiple priorities and meet deadlines
+ Experience in budgeting, forecasting, and strategic financial planning
Preferred Skills:
+ Month-end close and reconciliation
+ Financial reporting and analysis
+ Payroll processing and integration
+ Accounts payable/receivable management

Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
