    The Florida Department of Children and Families (DCF) is the state of Florida’s social services agency.     Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders .

     

    Florida State Hospital (FSH) is a mental health treatment facility owned and operated by the State of Florida and is part of the Department of Children and Families.     This is a highly responsible and professional position serving as theMedical Unit Specialist. The ideal candidate will be a collaborative team player who works seamlessly across all sections within the program office. This role requires the use of independent judgment, a proactive approach to responsibilities, and exceptional attention to detail.     Specific Duties and Responsibilities include:

    + This is a responsible position located in the Medical Services/Clinical Services area, because of the nature of the information and confidentiality of the department; this is a very sensitive position requiring a person of high trust and authority. Responsible for the assurance of patient and employee confidentiality related to HIPPA Guideline.

    + Prepares and maintains Excel spreadsheet/workbook for staff Performance. Electronically prepares annual employee evaluations for clinics and other staff members reporting to the Clinical Medical Director / END/ Ancillary Svs/ Infection Control Director for review/submission. Develops and formats computer generated reports, forms, etc. utilizing Microsoft Word, Excel and PowerPoint software applications for interoffice use as needed. Receives all incoming calls, answers routine questions and routes all other calls to appropriate person in the department. Receives and screens and routes all mail for Unit 31 & 32 daily. Prepares requisitions for purchasing and warehouse orders. Maintains adequate supplies for the department. Organizes and maintains records, filing system and inventories. Provide clerical support to the END, Clinical Medical Director, Ancillary Services and Infection Control directors in creating, updating and maintaining Continuous Quality Improvement (CQI) and other data. Record and maintain biweekly leave and attendance Excel spreadsheet; audit for accuracy periodically to reconcile with People's First and Kronos, maintain and send the provider coverage calendar. Prepare agenda/minutes for meetings as needed.

    + Collects, compiles and submits data for monthly reports, including but not limited to scorecard, maintain list of all no-shows for training classes, and other reports necessary to maintain operations within Unit 31/32, all departments. Ensure supplies are ordered and stocked, maintain a system to track needs for supplies for all departments within the unit.

    + Serve as the back up to the Operations Analyst. Ensure all required trainings are complete.

    + Other duties as assigned.

    Minimum Qualifications:

    + Four years of clerical or hospital experience.

    + College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience.
