    Overview

     

    The Events Coordinator supports the planning and execution of high-quality events for Kennedy Krieger Institute. The incumbent manages internal and external meetings and events held onsite, offsite, and virtually, and coordinates logistics for events and meetings across various locations and platforms. This position will maintain accurate event information and calendars; create and distribute event communications; manage databases, reports, and event-related documentation; assist with donor and volunteer engagement; and oversees event operations. The incumbent will support strategic planning, and ensures all events align with both the needs of the Institute’s diverse population and professional standards.

    Responsibilities

    1. Serve as staff liaison to chairpersons and committees of internal/departmental fundraising events and provide coordination support for third party/community fundraising events.

    2. Represent the Institute on events-related contracts and negotiations as well as at special events and public relations/media activities.

    3. Assist with event planning and provide recommendations to operating policies and practices that will enhance the event based on careful evaluation and analysis of event performance and policies.

    4. Coordinate on-site and virtual event logistics as assigned, from pre-event preparation and onsite logistics to post-event wrap-up. This will include catering, registration and attendee tracking, presentation and materials support, liaising with accrediting resources for continuing education credit liaison, and post-event evaluations.

    5. Coordinate with the Institute audio-visual team to ensure audio video set-up and testing, and that the audio-visual needs are met for both onsite and virtual presentations and meetings.

    6. Under the direction of the Manager, Conference and Events, help coordinate the Institute-wide use of event management software for listing events and handling event registration (Localist platform). Ensure calendar is an up-to-date and comprehensive listing of all interdepartmental and public events at the

     

    Institute. Coordinate with event software vendors and contractors, and train individuals within programs with regular events to enter their own events. Identify opportunities to cross-promote future events to audiences of registrants and attendees of prior related events.

     

    7. Communicate through Microsoft Teams and SharePoint databases to maintain all event details and planning information.

    8. Create and maintain donation event registration and ticketing pages using the online fundraising platform, DonorDrive. Update content on DonorDrive and

     

    the Institute’s website (e.g., the Foundation page and event calendar).

     

    9. Recommend and implement event promotion strategies such as drafting articles about events that benefit the Institute for various publications and sending correspondences to current and past event participants/supporters.

    10. Maintain databases. Periodically run and distribute regular and ad-hoc reports as needed.

    11. Research, analyze, and identify new ‘in-kind’ donor prospects for various special events (FOT, ROAR, etc.).

    12. Support the events team in the long-range planning process for future events through retrospective analysis of profitability, participation, and operations.

    13. Assist with the coordination of logistics for Institute events such as ROAR for Kids, Festival of Trees, etc.

    14. Assist with the recruitment of volunteer staff and participants. Coordinate logistics and manage the master event operations schedule.

    15. Coordinate with event organizers and the Marketing and Public Relations department to ensure marketing and promotional materials are approved, received, distributed, and appropriate for events.

    Qualifications

    EDUCATION:

    * High School diploma, GED, or equivalent is required.

    * Bachelor’s degree in a related field is preferred.

    EXPERIENCE:

    * Minimum 1 – 2 years of event coordination, planning, meeting and event management, or relevant related work experience is required.

    * Professional office experience is desirable.

     

    Minimum pay range

     

    USD $45,176.35/Yr.

     

    Maximum pay range

     

    USD $75,492.14/Yr.
