Primary Purpose
The Benefits Specialist is responsible for the effective administration of United Site Services’ employee benefit programs, including health and welfare plans, retirement savings, PTO, and voluntary benefits with a strong emphasis on leave of absence (LOA) processes, including both paid and unpaid. This role ensures all programs are compliant, competitive, and meet the needs of a multi-state, primarily hourly workforce. Acting as a key liaison between employees, vendors, and internal teams, the Benefits Administrator supports day-to-day operations, employee education, and continuous improvement of our Total Rewards offerings.
Essential Functions
Benefits Administration
+ Assist with the administration of USS’ health and welfare plans, including medical, dental, vision, life, disability, HSA/FSA, and retirement benefits.
+ Coordinate and maintain the benefits portal, including updates for enrollment periods, plan changes, and carrier integrations.
+ Manage daily benefits transactions, including enrollments, life event changes, terminations, and beneficiary updates.
+ Respond to employee inquiries regarding eligibility, plan coverage, and enrollment procedures.
+ Coordinate new hire benefits orientation and annual open enrollment sessions.
+ Collaborate with third-party vendors to resolve employee issues and ensure accurate plan administration.
+ Oversee the administration of Paid Time Off (PTO), sick leave, and related accruals and carryovers.
+ Maintain accurate and up-to-date employee records in HRIS and benefits platforms.
Leave of Absence Administration
+ Partner with third-party leave administrators to manage FMLA, ADA, short-term disability, long-term disability, military leave, and other leave programs.
+ Track employee leave usage and ensure compliance with applicable laws and internal policies.
+ Serve as the point of contact for employees and managers regarding leave policies and return-to-work procedures.
+ Ensure coordination of benefits and pay during leave periods with Payroll and HRIS teams.
Compliance & Reporting
+ Ensure all benefits programs comply with applicable federal, state, and local regulations including ERISA, COBRA, ACA, HIPAA, FMLA, ADA, and Section 125.
+ Prepare and audit data for required filings (e.g., 5500s, ACA reporting, nondiscrimination testing).
+ Support annual audits, including the coordination of data with internal stakeholders and external auditors.
+ Reconcile and process benefits-related invoices; escalate and resolve discrepancies with vendors.
+ Coordinate funding schedules for benefit deductions and employer contributions.
+ Maintain effective relationships with insurance carriers, brokers, and benefit service providers.
+ Maintain accuraterecords and generate reports for audits and compliance reviews.
Communications & Education
+ Assist in drafting clear, engaging benefits communications including plan summaries, FAQs, intranet content, and memos.
+ Support the development and delivery of benefits training for employees and managers.
+ Collect feedback and provide recommendations to improve benefits education and service delivery.
Additional Duties
+ Participate in continuous improvement initiatives and special projects as assigned.
+ Collaborate with cross-functional HR partners (Payroll, HRIS, HRBP and Legal) to ensure benefits programs align with broader people strategies.
+ Perform other duties as assigned.

Experience administering employee benefits and leave programs in a multi-state environment, preferably supporting a large, distributed hourly and salaried workforce.
ADDITIONAL KNOWLEDGE, SKILLS, AND ABILITIES
+ In-depth understanding of federal and state laws related to benefits (e.g., ERISA, COBRA, FMLA, ACA, ADA).
+ Experience working with third-party leave administrators and HRIS systems.
+ Strong attention to detail, accuracy, and organizational skills.
+ Ability to maintain confidentiality and handle sensitive information with discretion.
+ Excellent verbal and written communication skills.
+ Strong customer service orientation and problem-solving capabilities.
+ Proficient in Microsoft Office Suite and HRIS/benefits administration platforms (e.g., UKG, and ADP).
+ Ability to work both independently and collaboratively in a fast-paced, evolving environment.

At United Site Services, our salary ranges reflect the minimum and maximum base pay for the posted position applicable to all locations across the US. Within the posted salary range, individual pay is determined by the geographic location, job related skills, experience, education, and certifications. Our total compensation package includes base pay plus a comprehensive benefits program.
Salary Range
$70,000.00 – $80,000.00 / year
