    POSITION DETAILS

    The Procurement & Supplier Diversity Office at the City University of New York (CUNY) is committed to evolving procurement into a strategic, centrally led function that exemplifies world-class effectiveness and efficiency. CUNY’s innovative and transformative eProcurement solution, by the Jaggaer platform (CUNYBuy) aims to enhance and streamline both procurement and accounts payable processes. Key objectives include leveraging global best practices alongside CUNY specific insights to deliver a user-friendly solution, simplify and streamline procure-to-pay business processes, and promote transparency through an integrated, accessible platform.

     

    The Procurement Office seeks a CUNYBuy Support and Systems Manager, to be a proactive and forward-thinking individual who can work independently with minimal guidance. The role focuses on enhancing user experience and overall customer service by promptly addressing and resolving inquiries, thereby positively impacting the efficiency of the end-to-end procurement process. Reporting to the Director of Transformation, the primary goal of the incumbent is to oversee the current eProcurement solution and future implementations, facilitate system configuration and administration, along with design and deliver training and support material for all CUNY colleges and Central Office.

    Key duties include, but will not be limited to the following:

    + Serves as a liaison between internal strategic departments including our Information Technology Group (IT), Procurement offices, Accounts Payable, Vendor Management Unit, and other campus administrative offices while building strong internal, external and cross-functional relationships.

    + Manages all aspects of ServiceNow requests to include the review, distribution, update, and resolution of requests, and manage error trends by creating user manuals and guides to address user errors.

    + Provides CUNYBuy support, resolves and/or escalates issues as needed to IT and Central Office or Jaggar production support (submit Jaggaer production support tickets, track open items and report status as necessary).

    + Manages all exception queues within the eProcurement Solution, provides weekly or as needed metric reports; provides raw data exports (user data, transaction data, supplier data, etc.) as needed.

    + Serves as the functional System Administrator to execute system support, routine configuration, and maintenance of CUNYBuy configuration.

    + Manages program communications to key user populations and stakeholders, keeping the University updated on continuous improvement initiatives; oversees administrative functions of the eProcurement unit ensuring compliance with procurement policies by identifying and resolving non-compliant activities; designs and provides ad hoc training for program stakeholders; updates training resources based on user feedback and system configuration enhancements; develops eLearning curriculum for ongoing user development and support.

    + Engages with external supplier contacts as necessary, to facilitate and support Portal activities, including managing portal invoicing, overseeing supplier registration, and sourcing activities.

    + Leads supplier enablement efforts by prioritizing and managing the testing and onboarding of new supplier targets while overseeing existing supplier activities.

    + Oversees additional CUNYBuy related tasks as needed, ensuring seamless operations and support.

    NOTE:

    Until further notice, this position is eligible for a hybrid work schedule.

    QUALIFICATIONS

    Minimum:

    Bachelor's degree and six years' related experience required.

    Preferred:

    + Previous administrative experience with financial or procurement applications inclusive of workflow, accounting entries, purchasing and accounts payable transaction activity.

    + Competency in excel or .csv file exports and data manipulation and preparation.

    - Coordinates efforts among internal and external teams tasked with resolving business issues

     

    - Develops and implements training, communications, ongoing task forces and teams, and other support to maintain and build on results

     

    - Performs related duties as assigned.

    COMPENSATION AND BENEFITS

    The salary range is **$95,879 - $106,439** , commensurate with commensurate with credentials, education, and experience.
