PURPOSE
This position, under general supervision, provides direct administrative support to the Director and Associate Director of the School of Arts, Media, & Communication including daily operations, projects, special events, initiatives, and programs. Provides leadership in planning, directing, and evaluating school operations. Functions as a high-level school liaison to customers, represents the school on committees, and maintains interactions with high-ranking officials within and outside the university.
RESPONSIBILITIES
Executive Assistant - 40%
+ Participates in planning and execution of administrative operations.
+ Maintains calendar and schedules appointments for Director and Associate Director.
+ Coordinates travel arrangements, prepares itineraries, and processes reconciliations.
+ Creates presentations, prepares reports, prepares meeting agendas, and transcribes minutes.
+ Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies, and procedures. Monitors compliance with policies and procedures.
+ Reviews documents for the Director and Associate Director and attends meetings on their behalf, as needed.
+ Maintain excellent public relations with administrators, faculty, staff, students, donors, and community members.
+ Exercises discretion and independent judgement with respect to matters of significance.
+ Perform other duties as assigned.
Office Manager - 40%
+ Identify and recommend improvements for administrative procedures and make evaluative judgements in implementing changes. Assist in the resolution of complex, sensitive, and confidential administrative matters.
+ Monitor and coordinate staff workflow; delegate and distribute tasks.
+ Processes purchase orders and payments through Islander Buy.
+ Maintains records, such as the school committee roster and personnel files, and manages projects, as assigned.
+ Work in collaboration with department admins, the events specialist, and others to plan and execute meetings and events.
+ Update and manage Emergency Management Plans and Emergency Contact List.
+ Approve and submit all key requests and swipe card access for faculty, staff, and students.
+ Maintain and order school promotional materials.
+ Serve on various school, university, and system committees.
Personnel Management - 10%
+ Hires, trains, and supervises student workers and support staff.
+ Review and approve time in Workday for all staff in the school.
+ Oversee and assist the school with the process for hiring faculty and staff.
+ Process promotions, compensation changes, position reviews, terminations, resignations, and retirements.
Key Processes - 10%
+ Collect and file syllabi records for all departments in the school.
+ Assist Director and Associate Director with various school processes, including faculty elections, handbook and curriculum changes, research enhancement applications, etc.
+ Manage the pre-tenure, promotion, tenure, and post-tenure process, ensuring that all university and school rules and timelines are followed.
+ Assist with school and department website updates.
QUALIFICATIONS
+ Bachelor’s degree.
+ Two (2) years of related experience
+ Additional experience may be considered as a substitution for minimum experience requirement. Associate degree and Four (4) years of related experience. OR High School Diploma/GED and Six (6) related experience.
+ Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
+ Ability to work efficiently with minimal supervision and work cooperatively with others in a fast-paced environment.
+ Strong interpersonal and communication skills (verbal and written).
+ Excellent planning, organization, time management, and problem-solving skills.
PREFFERRED QUALIFICATIONS
+ Four (4) years of experience providing administrative support in an executive-level office setting.
+ Experience with Workday, Imburse, and/or FAMIS/Canopy.
+ Experience with Banner, Argos, Ad-Astra, and survey programs (e.g., Qualtrics, Survey Monkey).
+ Experience with faculty information systems (e.g., Interfolio).
SALARY $47,000 - $50,000.04 Annually Approximately
+ $3,916.66 - $4,166.67 Monthly
