Description
• Prepare, track, enter and process incoming customer purchase orders in BAAN for manual and EDI transactions.
• Prepare correspondence to customers/Sales/Purchasing to assist in the internal and external resolution of order discrepancies. Retain discrepancy approvals for audits of customer contracts (purchase orders).
• Produce customer purchase orders into a sales order acknowledgement to the customer and purchase order to the supplier within 24 hours.
• Complete requested amendments for cost, customer sell price, supplier, part number changes, address changes, quantity changes or any other required update within 24 hours of receipt.
• Enter new customer delivery addresses in BAAN and request new GSDB codes as needed. Verify new GSDB codes set up in the GSDB website match the customer PO and BAAN to maintain integrity of the customer names and delivery addresses.
• Coordinate and process billable and sample depot part orders into BAAN and the DOW Depot System.
• Monitor order discrepancies utilizing tracking tools such as the Pending Outlook Folders, Wolib Log, and various BAAN reports.
• Enter production order supplier releases into Common Material Management System (CMMS).
• Add and update customer routing, broker information, customer part numbers and contact information in BAAN to retain integrity of records.
• Peer Review fields in the BAAN Item Master using Item Master peer-review session.
• Create and maintain signal codes, item groups, statistics codes, Item Master template parts, and expense parts in the Item Master.
• Prepare correspondence to Sales/Purchasing to help resolve item discrepancies.
• Produce Mod Center orders from spreadsheets for generation of the sales orders and purchase orders in BAAN.
• Establish work procedures and standards to improve efficiency and effectiveness of assigned operations. Ensure compliance with corporate standards, review daily work of peers and meet monthly performance objectives.
• Document and maintain step by step instructions of internal processes and procedures.
• Store all files electronically in a systemized filing format to comply with ISO required retention and document management.
Additional Skills & Qualifications
• 2+ years experience as Purchase Order Analyst
• Experience using CMMS tool
Pay and Benefits
The pay range for this position is $20.00 - $22.00/hr.
