The City of Littleton has an exciting new opening for a Business Support Specialist to provide professional level business and administrative support for the Public Works Engineering Division.
This Business Support Specialist position provides essential administrative and operational support to the Public Works and Engineering teams. This role ensures smooth coordination of engineering project documentation, regulatory compliance, budgeting assistance, and communication between engineering staff, contractors, and government agencies. The ideal candidate has strong organizational skills, a basic understanding of civil engineering or municipal infrastructure, and the ability to manage multiple priorities in a public sector environment.

Public Works is engaged in multiple exciting citywide projects and this position will help support Engineers and Planners in compiling construction administration and seeing projects through to the field. Hiring pay range $25.18 - $26.51 per hour
This full-time position is non-exempt per FLSA and is eligible for overtime compensation.
**Work Schedule** : This is a full-time position and has the option to work a hybrid schedule with some days teleworking and some days working in person at the office.

ESSENTIAL DUTIES & RESPONSIBILITIES:
+ Performs a broad and diverse set of administrative tasks that support business needs.
+ Greets customers, addresses citizen inquiries and determine best course of action.
+ Serves as a point of contact for internal and external stakeholders, responding to inquiries related to projects and programs delivered by the Public Works Department, as well as other city related events/projects.
+ Coordinates or oversees department programs, projects and processes.
+ Coordinate meetings, schedules, and communications between departments
+ Assists with budget preparation, monitors departmental expenditures, and processes invoices, purchase orders and payments for services and supplies.
+ Utilizes the Workday enterprise resource planning program to process p-card reconciliations; enter invoices for payment; open purchase orders; and order items from Amazon or other suppliers.
+ Assists in the preparation, tracking, and management of engineering project files, permits, and compliance documentation.
+ Assists with preparing technical reports, council memos, and presentations for public meetings or hearings. Support preparation of agenda items, staff reports, and presentations for City Council, planning commissions, and community meetings.
+ Processes invoices, receives and processes Request For Proposals and contracts.
+ Serves as an administrative resource for department vendors and contractors.
+ Prepares reports, files, legal documents or memorandum.
+ Assists with the preparation and tracking of reports, presentations, and internal documentation.
+ Maintains and updates records, databases, and shared resources with accuracy and confidentiality.
+ Audits and reviews files and documents before dissemination.
+ Ensures department records are organized, up to date, and in compliance with records retention policies.
+ Manages department’s requests for information and ensures that confidential information is disseminated to authorized persons.
+ Assists with the coordination of activities within and across the organization.
+ Drafts, edits or recommends new policies and procedures.
+ Supports the onboarding and training processes for new hires.
+ Works on assignments that are highly complex in nature where considerable judgement, analysis, and initiative are required in resolving problems and making recommendations.
+ Researches, analyzes, makes decisions and recommendations contributing to significant changes within and outside of the department.
+ Serves as a liaison with internal and/or external contacts communicating to a variety of audiences with minimal input and assistance from supervisor.
+ Responsible for projects or tasks that directly contribute to the department or citywide initiatives.
+ Recognizes, initiates, and leads improvement activities without hesitation to change or challenge decisions to meet performance goals or commitments.
+ Identifies strengths, weaknesses, threats, and opportunities and develops appropriate plans.
+ Requires considerable judgement, analysis, and initiative.
+ Uses discretion and sensitivity due to role/content of work and/or customers that require discretion based on policy or legal requirements (e.g. personnel or political/council).
+ Anticipates and plans for changes in internal and/or external operating conditions and business needs.
+ Assignments are received in the form of results expected but incumbents have considerable freedom to decide on work priorities.
+ May serve as an Emergency Worker.
MINIMUM QUALIFICATIONS:
+ High school diploma or equivalent; and
+ Four (4) years of previous work experience in an administrative support related position; or
+ An equivalent combination of education, training and work experience that produces the knowledge, skill, and ability to perform the essential duties and responsibilities of the position may be considered.
+ Must be able to pass a pre-employment criminal background check.
Preferred Qualifications:
+ Experience with business and/or public administration, accounting, purchasing, office management
KNOWLEDGE, SKILLS, ABILITIES:
+ Knowledge of principles and processes for providing customer and personal services.
+ Strong written and verbal communication skills
+ Ability to maintain confidentiality, and exercise political savvy and discretion at all times.
+ Knowledge of business and management principles.
+ Ability to lead others effectively and gain cooperation without having formal authority.
+ Ability to work independently, set objectives and determine how to proceed.
+ Ability to act, change or challenge decisions to meet performance goals or commitments.
+ Advanced attention to detail and accuracy.
+ Requires considerable judgment, tact, discretion, and initiative.
+ Advanced skills with applications specific to area of assignment such as experience with financial systems, GIS, or project management software is a plus
+ High proficiency in Microsoft Office (Excel, Word, Outlook)
+ Ability to operate routine and non-routine office related equipment.
+ Advanced skills in organization, priority setting and administrative coordination.
WORKING ENVIRONMENT & PHYSICAL ACTIVITIES:
+ The essential duties for the position are performed indoors in a standard indoor office/reception area environment.
+ Physical activities include the ability to lift, carry, push or pull objects weighing up to 25 pounds with or without assistance.
